Job description

Are you friendly, organized, able to juggle calendars, emails, and phone calls—sometimes all at once (with grace)? Do you have a knack for data entry, a background in medical administration, and a genuine passion for making people feel welcome? If so, we’ve been looking for someone just like you!

We’re Apex, and we’re growing! We’re on the hunt for an Office Administrator who can help keep things running smoothly at our Kitchener location. If you thrive in a varied environment where no two days are the same, we think you’ll fit right in.

What You’ll Be Doing:

Think of yourself as the glue that holds everything together. You’ll:

  • Be the first friendly face our clients see—greeting visitors warmly and creating a positive, professional first impression (smiles encouraged!).
  • Keep the office organized and humming by handling clerical duties like chart prep, electronic filing (with flair), supply management, and more.
  • Support our Occupational Health programs by coordinating with vendors, clients, and internal departments.
  • Help with the behind-the-scenes magic of payroll admin, database upkeep, and light accounting support (QuickBooks isn’t scary to you).
  • Assist with logistics and scheduling—basically, be the wizard who ensures everything happens on time.
What We’re Looking For:
  • A natural “people person” who’s also great at staying calm, cool, and collected.
  • Someone who knows their way around an office—especially one with a medical or health-related focus.
  • Experience with payroll, accounting, or CRM software (bonus points if you secretly love a good spreadsheet).
  • The ability to prioritize tasks without breaking a sweat, even when your inbox is feeling a little...ambitious.
  • A team player who pitches in wherever needed—because “that’s not my job” isn’t in your vocabulary.
  • Previous experience in an Occupational Health environment? Even better!
Why You'll Love Working Here:
  • You’ll be part of a close-knit, high-trust team that supports one another and celebrates wins (big and small).
  • Confidentiality and professionalism are valued—and so is your ability to laugh when the label printer misbehaves.
  • You’ll enjoy regular hours, Monday to Friday. That’s right—no evenings or weekends!
  • We offer competitive pay, benefits, ongoing training, and a paid volunteer day so you can give back to your community.
  • Your work will directly contribute to improving employee health and wellness across Ontario.
