Responsibilities

  • Oversee and coordinate general administrative operations of the Red Deer office.
  • Maintain organized office systems, records, files and administrative procedures.
  • Coordinate incoming/outgoing mail, couriers, deliveries and general correspondence.
  • Manage office supplies, equipment and vendor relationships.
  • Maintain filing systems and ensure documents are properly organized.
  • Assist with cheque printing and routine administrative processing as directed.
  • Coordinate staff onboarding and offboarding requirements.
  • Prepare workstations, accounts, equipment and materials for new employees.
  • Coordinate job postings, recruitment administration and interview scheduling.
  • Support staff scheduling, office calendars, meetings and internal coordination.
  • Track administrative tasks, deadlines, responsible team members and follow-ups.
  • Follow up on outstanding administrative matters to ensure completion.
  • Assist with office policies, procedures and internal documentation.
  • Coordinate with lawyers, legal assistants, bookkeeping/accounting personnel, technology providers and external vendors.
  • Assist with payroll/accounting aspects when required; not primarily a bookkeeping position.
  • Help improve existing office procedures where systems are inefficient or unclear.
  • Support implementation and use of office technology and administrative systems.
  • Assist staff with routine use of Microsoft 365 and other office systems.
  • Support coordination of firm events and community initiatives.
  • Maintain a professional, welcoming and organized office environment.
  • Handle confidential and sensitive information with discretion.

About Donna Purcell QC Law

Donna Purcell QC Law is a growing Alberta law firm with its head office in Red Deer County and operations serving clients across Alberta. Our firm is modern, technology-focused, client-centered, and actively expanding.

We are seeking an experienced Office Administrator to take responsibility for the day-to-day administration and organization of our Red Deer office.

This is a senior administrative position for someone who takes pride in running an organized, professional and efficient office. We are looking for someone who notices what needs to be done, follows through without repeated reminders, keeps accurate records, communicates professionally, and maintains high standards even during busy periods.

Experience Required

8–10 years of progressive office administration experience is required.

Experience in a law firm, professional-services firm, accounting firm, financial-services business, or another highly regulated professional environment would be a strong asset.

Key Responsibilities

The Office Administrator will oversee and coordinate the general administrative operations of the office, including:

  • Managing the day-to-day administrative needs of the Red Deer office.
  • Maintaining organized office systems, records, files and administrative procedures.
  • Coordinating incoming and outgoing mail, couriers, deliveries and general correspondence.
  • Managing office supplies, equipment and relationships with service providers and vendors.

  • Assisting staff with routine use of Microsoft 365 and other office systems.

  • Bookkeeping experience will be an asset.

Experience with Unity, Hubdoc, QuickBooks, legal practice-management software, or similar professional-office systems would be an asset but is not required.

Work Location

This is an on-site position based at our Gasoline Alley office.

Regular in-person attendance is an essential requirement of the position.
