Job summary

The Government of Alberta’s Justice ministry in Edmonton is seeking an Administrative Coordinator to support day-to-day operations in a busy Crown Prosecution Office. This permanent, full-time role focuses on maintaining records, coordinating finances, and ensuring staff have the resources they need to succeed.

You will manage leave, timesheets, budgets, and office services, using advanced Excel and MS Office to produce accurate reports.

Qualifications

  • High school diploma is required.
  • Three years of related administrative experience in HR, financial, and/or legal offices.
  • Proficiency in Microsoft Office Suite with emphasis on Excel and Outlook.

Responsibilities

  • Track and maintain employee leave, vacations, staffing info, timesheets and other records to ensure accuracy and continuity.
  • Monitor and reconcile expenditures, invoices, expense claims, telecom costs, and budget information using advanced Excel and financial systems.
  • Coordinate office supplies, vendor services, court garment orders, equipment maintenance, IT support requests, and building access requirements.
  • Communicate and collaborate with employees, payroll, finance, HR, and external providers to support efficient administrative processes and resolve issues.

The Alberta Crown Prosecution Service (ACPS) prosecutes persons charged with Criminal Code, Youth Criminal Justice Act, and provincial statute offences.

The ACPS promotes safe communities by vigorously prosecuting cases involving serious and violent crime and working with individuals and organizations in the community to identify and implement improved and alternative approaches to the administration of criminal justice.

In addition, the ACPS develops criminal law policy for the province and supports criminal law consultation with other levels of government.

Edmonton’s Crown Prosecution Office is seeking a highly organized Administrative Coordinator to support the day-to-day operations of a large, fast‑paced office. This role is ideal for someone who thrives on tracking details, managing multiple priorities, maintaining accurate records, and ensuring employees have the resources they need to succeed.

Your key responsibilities will include:

  • Tracking and maintaining employee leave, vacation, staffing information, timesheets, and other operational records to ensure accuracy and continuity of office operations.
  • Monitoring and reconciling expenditures, invoices, expense claims, telecommunications costs, and budget information using advanced Excel spreadsheets and financial systems.
  • Coordinating office supplies, vendor services, court garment orders, equipment maintenance, IT support requests, and building access requirements.
  • Communicating and collaborating with employees, payroll, finance, human resources, and external service providers to support efficient administrative processes and resolve issues.

Qualifications

Requirements:

  • High school diploma
  • Three years of related administrative experience within Human Resources, financial, and/or legal related offices
  • Proficiency in Microsoft Office Suite with an emphasis on Excel and Outlook

Directly related education or experience considered on the basis of:

  • 1 year of education for 1 year of experience
  • 1 year of experience for 1 year of education

Assets:

  • Experience working in a legal environment
  • Experience in the use of 1GX (SuccessFactors) or similar internal centralized systems to manage and access key resources, streamline workflows, and collaborate across teams
  • There is one (1) permanent full-time position available.
  • This position works 36.25 hours per week, Monday to Friday out of the John E Brownlee Building in Edmonton.
  • Final candidates will be required to undergo a criminal records check (CRC).
  • Any costs associated with obtaining the required documents/checks as noted or interview travel expenses, will be the responsibility of the candidate. Out-of-province applicants can obtain the required documents/checks from the province they currently reside in.
