About The Role

We’re hiring an Office Administrator to support our ready-to-eat facility (Factor) in Mississauga. In this role, you will organize and coordinate office procedures and support the office with high levels of customer service in administration. Your role is to create and maintain an environment where our employees can do their best work in an effective, professional, and safe environment. Ultimately, the Office Administrator should ensure the smooth running of the office and help improve company procedures and day-to-day operations.

Notes On Schedule

  • The working hours for this role are Tuesday to Saturday from 3 : 00 pm to 11 : 30 pm.
  • This is a 100% in-person role at our Distribution Center located at 3520 Laird Road, Mississauga, L5L 5Z7.

What You Will Be Doing

  • Develop processes to improve overall office operations.
  • Assist HR & Staffing teams with onboarding new hires and setting up the orientation room.
  • Coordinate promotional materials for HelloFresh activities.
  • Provide administrative support to the on-site leadership team.
  • Act as a gatekeeper when receiving guests, courteously providing and receiving information.
  • Execute site indirect spend purchasing (office supplies, snacks, general supplies) and ensure accurate reporting.
  • Manage site access with key cards and visitor logs.
  • Address employees' queries regarding office management issues (stationery, hardware, travel arrangements).
  • Plan in-house or off-site activities such as parties, celebrations, swag distribution, and conferences.
  • Liaise between global offices for onboarding, employee exits, training, and company events.
  • Work in compliance with OH&S acts and regulations.
  • Create and distribute email communications about Town Halls, surveys, and updates.
  • Manage absence tracking and follow-ups on job abandonment.
  • Own and manage operations reports.
  • Use personal protective equipment and report workplace hazards.
  • Perform other duties as assigned.

Minimum Qualifications

  • Exceptional communication, interpersonal, and problem-solving skills.
  • 2+ years of experience in office coordination, customer service, or assistant roles.
  • Proficiency with Google Apps, Microsoft Suite, and video conferencing tools.
  • Experience supporting HR functions is strongly preferred.
  • Ability to prioritize, stay calm, and multitask in a fast-paced environment.
  • Flexibility to work overtime, weekends, evenings, and holidays as needed.
