We are looking for an Office Administrator to join our team, working out of our Kelowna office. This role is fun and flexible and will provide the successful candidate with a variety of challenging tasks. We are open to candidates who are looking for a professional environment working for a great organization that values personal work-life balance. This role will require a minimum of 15 hours a week; however, the hours and schedule are flexible. Depending on experience, this role's compensation will be between $22-$26 / hour.

The Office Admin will assist with the implementation of the day-to-day operations of reception duties, AP / AR support, and executive assistant tasks. Our office admin carries out responsibilities to help with finance duties, multi-department administration, and office management.

Primary Key Responsibilities:

  • Manage telephone and walk-in traffic at our reception area. Distribute mail and keep stationery supplies current and replenished.
  • Maintain effective communication with all team members, assist the leadership team with administrative tasks and reporting.
  • Act as executive assistant to CEO, organizing calendar, agenda, and some personal matters.
  • Act as the first point of contact for a group of commercial tenants, and be available to participate in our on-call rotation for intermittent alarms.
  • Calendar management for senior-level employees, scheduling interviews with potential new employees and vendors.
  • Organize training for members of our team.
  • Code and reconcile credit card statements, pay invoices, and send reminders on receivables.
  • Organize business meetings, including catering, clean-up, and invitations.
  • Use technology currently in place to upload payables and receivables into our system. Reconcile corporate credit cards and seek approvals for processing.
  • Assist with all other day-to-day operations of the office.
