Job summary

Acadian Construction seeks a proactive Office Coordinator to keep operations running smoothly. This role goes beyond front desk work, supporting both the organization and the accounting team, and presenting a polished image to clients and partners.

You will manage administrative systems, assist safety and accounting, and coordinate vendors and travel as needed. The ideal candidate has a college diploma in office administration or equivalent, 2+ years of experience, and fluent English and French.

Qualifications

  • College diploma in office administration or related field or equivalent experience.
  • Minimum two years of experience in a similar administrative role.
  • Bilingual English and French is required.
  • Construction industry experience is an asset.
  • Intermediate proficiency in Microsoft Office Suite.
  • Experience with accounting software, preferably Jonas, is an asset.

Responsibilities

  • Serve as the first point of contact for visitors and callers with a professional, welcoming experience.
  • Answer and direct all incoming mainline calls promptly and accurately.
  • Manage front desk inquiries and route messages to the appropriate team members.
  • Coordinate incoming and outgoing courier services.
  • Sort and distribute mail and emails to recipients in a timely manner.
  • Manage office and kitchen supply inventory and coordinate ordering with vendors.
  • Liaise between Acadian Construction and external service providers.
  • Coordinate and book hotel accommodations for employees.
  • Provide administrative support to the Safety department, including printing safety binders.
  • Provide administrative support to the Accounting department as required.

As the face of our office, you will create a polished and welcoming first impression for clients, visitors, and partners, while driving efficient administrative systems. Responsibilities
Front Desk and Customer Service
  • Serve as the first point of contact for visitors and callers, providing a professional and welcoming experience.

  • Sort and distribute incoming mail and email inquiries to appropriate recipients in a timely manner.
  • Manage office and kitchen supply inventory, including ordering and vendor coordination.
  • Act as liaison between Acadian Construction and external service providers.

  • Provide administrative support to the Safety department, including preparing and printing safety binders.
  • Provide administrative support to the Accounting department as required.
