Administrative Assistant - Reporting to the Leasing and Marketing Lead

$45,000 – $50,000 annually + bonus structure

Summary of the Role:

The ideal candidate will be highly proficient with technology and skilled in data entry and document management. Responsibilities include answering phone calls, preparing and uploading lease agreements using Google Drive, Microsoft Office, Yardi, and DocuSign, booking appointments, coordinating pre‑leasing property set‑up, managing tenant databases, and ensuring all necessary documents are collected and completed accurately. Additionally, they will organize meetings, handle general office duties, and maintain digital filing systems.

Responsibilities:
  • Serve as the main point of contact for tenants and prospective clients, managing communications with a professional and personal touch.
  • Build and maintain strong client relationships through proactive follow‑ups and clear, timely email correspondence.
  • Oversee online leasing requests from multiple platforms, reviewing and approving qualified prospects.
  • Schedule and coordinate property showings, optimizing calendars across multiple buildings for efficiency.
  • Prepare, organize, and upload leasing documents into Yardi, Google Drive, and DocuSign (or equivalent), ensuring accuracy and accessibility.
  • Lead the onboarding process for new tenants and coordinate smooth property openings.
  • Ensure all client documentation is complete, accurate, and compliance‑ready.
  • Update listings, launch digital ads, and craft compelling property descriptions to attract and convert tenants.
  • Conduct research, pull data, and manage spreadsheet/database entries to support decision‑making.
  • Community Engagement: Send updates, survey, newsletters, and community announcements.
  • Handle day‑to‑day administrative tasks such as scanning, photocopying, and e‑faxing, while supporting team projects and initiatives.
Qualifications:
  • Previous experience in real estate, sales, or marketing is preferred but not required.
  • Preferably, candidates have a minimum of 3 years of experience in an administrative role, ideally supporting sales or customer service.
  • Must be proficient in both English and French, with excellent verbal and written communication skills.
  • Exceptional organizational and administrative skills, with a keen attention to detail.
  • Courteous, positive, and service‑oriented with a strong focus on client satisfaction.
  • Experience with Yardi software is an asset.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proficient in Google Workspace (Drive, Gmail, Docs, Sheets).
  • Comfortable learning and adapting to new computer systems and technologies.
  • Self‑motivated with a proactive approach to tasks and responsibilities.
  • Thrives under pressure, maintaining composure and productivity in fast‑paced environments.
  • Works effectively both independently and as part of a team.
  • Capable of managing multiple tasks and priorities simultaneously with excellent time management.
  • Must have a valid driver’s license and access to a reliable vehicle.
