Job description

LaPrairie Group of Companies is seeking an Office Administrator to join its team in downtown Calgary, Alberta.

The Office Administrator will handle various administrative duties supporting LAPRAIRIE's operating divisions across North America. Responsibilities include executive assistance, general administration, office management, and reception duties, primarily at the front desk.

We seek a candidate experienced in these tasks who can manage multiple projects independently and efficiently.

Job Responsibilities
General Administration Duties
  • Provide administrative support to the executive team and management.
  • Collaborate across departments on projects.
  • Perform accounting coding and data entry.
  • Maintain administrative procedures and manuals.
  • Handle confidential information discreetly.
  • Review and edit documentation for formatting, content, and language accuracy.
  • Draft and format company communications such as memos and letters.
  • Order business cards and promotional materials.
  • Assist in planning and executing company events.
Office Management / Reception Duties
  • Manage incoming calls and inquiries, directing them appropriately, and taking messages.
  • Keep the office clean and organized.
  • Coordinate shipments and order office supplies.
  • Liaise with building management for maintenance and repairs.
  • Book meetings and ensure necessary equipment and catering are available.
  • Support office safety programs and coordinate online training.
Requirements
  • 3-5 years of experience in administration or communications.
  • Excellent writing skills, including spelling, grammar, and punctuation.
  • Ability to work independently with strong time management skills.
  • Prioritize tasks and work with minimal supervision.
  • Proficient in Microsoft Office applications.
  • Sound judgment, reasoning, and discretion.
  • Post-secondary education related to Communications, Business, or Administration.

This is an in-office position; remote work is not available at this time.
