LaPrairie Group of Companies is seeking an Office Administrator to support its team in downtown Calgary, Alberta. The role involves a variety of administrative duties across multiple divisions in North America, including executive support, general administration, office management, and reception duties.

The ideal candidate will be experienced in these tasks, capable of managing multiple projects independently, and comfortable working at the front desk.

Job Responsibilities
  1. General Administration Duties
  • Support the executive team and management with administrative tasks.
  • Collaborate with team members across departments on projects.
  • Handle accounting coding and data entry.
  • Maintain administrative procedures and manuals.
  • Ensure confidentiality in all interactions.
  • Review and edit documentation for formatting, content, grammar, and spelling.
  • Draft and format company communications for approval.
  • Order business cards and promotional materials.
  • Assist in planning and executing events.
  • Office Management / Reception Duties
    • Manage incoming calls and inquiries, redirect as needed, and take messages.
    • Keep the office clean and organized.
    • Coordinate shipments and order supplies.
    • Liaise with building management for maintenance and repairs.
    • Book meetings and ensure necessary equipment and catering are arranged.
    • Facilitate the office safety program and coordinate online training.
    Requirements
    • 3-5 years of experience in administration or communications.
    • Excellent writing skills, including spelling, grammar, and punctuation.
    • Independent worker with strong time management skills.
    • Able to prioritize and complete tasks with minimal supervision.
    • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
    • Sound judgment, reasoning, and discretion.
    • Post-secondary degree or diploma in Communications, Business, or related field.

    This is an in-office position; remote work is not available.
