Position Overview

At Classic Fire + Life Safety, we protect what matters most. Whether it's fire protection systems or comprehensive life safety services, we help our clients safeguard their people, property, and peace of mind. As we continue to grow across Western Canada, we are looking for a proactive, organized, and reliable Billing & Office Administrator to join our Calgary team.

About The Role

This is a key support role that ensures the smooth operation of our Calgary office while supporting critical billing functions and providing administrative assistance to our business leaders. You’ll wear multiple hats—managing billing workflows, coordinating daily office activities, supporting operations, and being a welcoming first point of contact for visitors and clients.

This job description serves as a guideline and may not encompass all functions of the role.

Main Duties and Responsibilities

Operations & Billing Administration

  • Complete billing processes for Service, MWD, and Construction
  • Vendor portal administration
  • Respond to COI (Certificate of Insurance) and WCB requests
  • Support credit documentation and processes
  • Assist with corporate credit card report tracking and submission

Administrative & Business Leader Support

  • Provide general admin support to business leaders
  • Manage Visa reconciliations and expense reporting
  • Support document preparation, filing, and scheduling

Reception & Front Desk

  • Answer phones for both Calgary and Kelowna offices
  • Greet and assist in-person customers and vendors
  • Assist with fire extinguisher counter sales
  • Handle deliveries, mail, and courier shipments
  • Oversee visitor sign in logs

Office & Facilities Coordination

  • Provide day-to-day vendor onsite support, including janitorial, waste management and catering services
  • Book meeting rooms, hotels, and event spaces for team functions
  • Maintain and renew business licenses
  • Supporting fleet administration

Qualifications:

  • Previous billing / invoicing experience
  • 2+ years in an administrative, office coordinator, or executive assistant role
  • Strong multitasking and organizational skills
  • Excellent communication and customer service abilities
  • High attention to detail and follow-through
  • Proficient in Microsoft Office Suite; experience with accounting or ERP systems is a plus
  • Experience in construction, service, or technical industry is an asset
