Qualifications

Responsibilities

  • Supervise and lead a team of up to 5 administrative staff members, ensuring efficient workflow and high-quality performance.
  • Liaise with the Regional Office Manager to establish administrative procedures.
  • Fulfill clerical needs and manage sick/vacation coverage.
  • Assist leadership with preparing slides, catering, setting up partner meetings, travel arrangements, meeting bookings, and event planning.
  • Train and support employees on MNP systems and methodologies.
  • Maintain office safety and security; participate in the Health and Safety Committee, assist with emergency procedures, and fire warden duties.
  • Assist with financial transactions and expense management following company procedures.
  • Serve as the point of contact for team inquiries and direct as appropriate.
  • Handle various office functions such as communication, opening timesheets, client transfers, and WIP transfers.
  • Maintain knowledge of all systems used by the Administration team to assist with inquiries and provide backup.
  • Organize physical office space, update Floor Plans and Seating arrangements.
  • Review, modify, and prepare templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks, and other materials; research, compile, and summarize data.
  • Contribute to process improvements and new ideas.
  • Support practice inspection teams with logistics and information gathering.
  • Coordinate with property management regarding building maintenance and cleanliness.
  • Maintain electronic and paper filing systems.
  • Work flexible hours, including overtime as necessary.

Skills and Experience

  • At least 5 years of progressively complex administrative responsibilities.
  • Minimum of 2 years in a supervisory role managing administrative teams and coaching performance.
  • Experience in a professional services environment is an asset.
  • Post-secondary education in business administration is an asset.
  • Business courses and bookkeeping experience are assets.
  • Proficiency with Microsoft Office Suite.
  • Excellent organizational and time management skills, capable of handling multiple tasks.
  • Strong client service orientation for internal and external clients.
