Job summary

You will coordinate and support meetings and events, manage onsite logistics, and collaborate with clients, vendors, and internal teams to create welcoming, well-executed events. This role focuses on coordinating guest services, room setup, post-event reporting, and ensuring smooth turnover.

Responsibilities

  • Serve as the primary point of contact for smaller meetings and events, with support for larger ones when needed.
  • Coordinate guest services with clients, vendors, and team members (arrival, transportation, signage, displays, accessibility, printing, security).
  • Coordinate with vendors who supply services or goods to the workplace.
  • Create a hospitable environment for attendees, event owners, and vendors on event day.
  • Assist with conference room turnover and room refresh; reconfigure spaces for evening use per senior guidance.
  • Respond to event activities such as supplies, equipment, food & beverage, and security needs.
  • Perform room setup, refresh, and removal of items; maintain space configuration outlines.
  • Conduct room checks and ensure spaces are functional from a technical/visual standpoint.
  • Manage a small inventory of event supplies.
  • Coordinate the master meeting and events calendar for small to medium spaces; share schedule with team and providers.
  • Assist with post-event reporting and reconciliation; escalate issues as needed.

About the Role:

Join CBRE as a Meeting & Events Coordinator and help deliver exceptional workplace experiences for clients and guests. In this dynamic, customer-focused role, you'll coordinate and support meetings and events, manage onsite logistics, and ensure every detail contributes to a seamless experience. Working closely with clients, vendors, and internal teams, you'll play a key role in creating welcoming, well-executed events while building your career with a global industry leader.

What You'll Do:
  • Primary point of contact for smaller meetings and events. Provide support for larger and more complex meetings and events as needed.
  • Work with clients, vendors, and team members to coordinate guest services. This includes arrival experience, transportation, signage, displays, special needs requirements, printing, and event security.
  • Coordinate with vendors who supply services or goods to the workplace.
  • Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
  • Assist with conference room turnover and midday room refresh. Reconfigure rooms for evening indoor and outdoor spaces. Take direction from senior team members.
  • Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, etc.
  • Conduct room set up, refresh, and removal of food, beverage, and service items. Maintain outlines of small space configurations, decor possibilities, and event-related event items.
  • Complete room checks and ensure technical and visual spaces are functional.
  • Manage a small inventory of event supplies.
  • Coordinate master meeting and events calendar for small to medium-sized event spaces. Communicate events schedule with team and service providers.
  • Assist with post-event reporting and reconciliation. Escalate potential issues and concerns as appropriate.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
