Clinic: CAYA Health Centre, 555 West 12th Avenue

Schedule: In-person and hybrid, Monday-Friday (8:30 pm – 4:30 pm typically with potential one evening shift a week).

We are hiring a Medical Office Assistant (MOA) to join our dynamic team. You’ll provide front-line administrative and clinical support to both general and specialist practitioners, including OB/GYNs. This role requires strong organizational skills, compassionate communication, and experience in gynecological and obstetric support.

Key Responsibilities

  • Welcome and support patients in person and by phone/email.
  • Operate Jane, Oscar, and Arya EMRs to enter and manage patient data.
  • Handle incoming faxes and referrals; triage and maintain waitlists.
  • Schedule appointments, OB consults, gyne consults, and surgical procedures.
  • Collect intake forms, prepare patient files, and coordinate labs, ultrasounds, and imaging.
  • Prenatal chart prep – entering intake, prenatal labs, genetic screen, ultrasound.
  • Confirm demographics, send intake/consent forms, and liaise with pharmacies.
  • Prepare rooms and equipment for procedures (e.g., PAPs, IUDs, pregnancy tests).
  • Support OB/GYN specialists with charting, surgery coordination, requisitions, and communication with hospitals and OR booking.
  • Maintain office cleanliness and manage clinic inventory/supplies.
  • Preparing and sending OR packages to BCW and liaising about slates/urgent cases.
  • Check-in procedures (BP, height/weight, urine dip/pregnancy test).
  • Sending out samples (e.g., PAPs, pathology)
  • Uphold patient confidentiality, compassion, and clinical excellence at all times.
  • Work collaboratively with the other MOAs on the team.

Qualifications

  • Completion of Medical Office Assistant training (VCC or equivalent).
  • Minimum 1 year administrative experience in a healthcare setting preferred.
  • Experience with OB/GYN procedures and clinical preparation is required.
  • Knowledge of trauma-informed and gender-affirming care (required).
  • Proficiency with JaneApp, Arya, and Oscar EMRs.
  • Strong communication, problem-solving, and multitasking skills.
  • Familiarity with Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Reliable, compassionate, and committed to patient-centered care.

Compensation

  • Range: $24:00 - $27.00
