Job Purpose:
The Medical Office Assistant / Clinical Assistant I is responsible for overseeing front desk operations at the clinic, including patient greeting, care logistics, scheduling, record maintenance, payment processing, and care coordination.
Key Responsibilities:
1. Scheduling and Patient Care Coordination:
- Coordinate patient care within the clinic, including creating patient charts, greeting patients, scheduling appointments, and escorting patients to and from treatment rooms.
- Manage all incoming calls, emails, and voicemails, addressing inquiries related to bookings, cancellations, rescheduling, and general medical services.
- Ensure optimal physician scheduling by managing appointments and utilizing waitlists effectively.
2. Administrative Support:
- Assist patients in completing questionnaires and manage intake processes efficiently.
- Provide administrative support to non-PPM physicians regarding billing verification and related tasks before, during, and after appointments.
3. Backup Clinical Support:
- Serve as a backup to assist PPM physicians in procedure rooms by performing patient care in accordance with established protocols:
- Equipment Management: Set up and check sterile equipment for procedures and assist with patient positioning.
- Procedure Assistance: Document patient information, assist during procedures, and take vital signs using monitoring equipment.
- Image Capture & Sterilization: Maintain sterility protocols, assist with skin sterilization, and capture ultrasound images as required.
4. Billing:
- Process direct billing to third-party insurances and collect payments for in-person, virtual appointments, and no-show fees.
5. Group Medical Visit (GMV) Services:
- Provide technical and administrative support during GMV sessions, including attendance tracking and troubleshooting technical issues.
6. General Support:
- Perform clinic opening and closing procedures.
- Maintain electronic medical records and ensure patient confidentiality.
- Undertake short-term and long-term projects based on skills, abilities, and clinic needs.
- Execute additional clinical and administrative tasks as required.
Qualifications:
- High school diploma or equivalent required; certification in medical assisting or a related field preferred.
- Proven ability to work collaboratively in a team environment, supporting colleagues and physicians to enhance patient care.
- Professional demeanor with strong problem-solving abilities.
- Proficient in addressing patient inquiries with empathy and professionalism.
- Strong understanding of medical terminology for effective communication and documentation.
- Basic knowledge of healthcare regulations, including patient confidentiality practices.
- Excellent verbal and written communication skills for interaction with patients, healthcare providers, and insurance companies.
- Typing speed of 40 words per minute.
- Ability to adapt to changes and manage multiple tasks in a dynamic clinical setting.
- Strong problem-solving skills to address scheduling and patient concerns.
- Willingness to provide backup clinical support and perform varied tasks as needed.
- Proficient in managing medical equipment, maintaining sterile environments, and assisting with procedures.
- Competent in handling ultrasound equipment, assisting with imaging, and measuring vital signs.
