Qualifications

Responsibilities

  • Front desk reception and patient registration.
  • Manage patient room placement and flow.
  • Schedule management for consultations, follow-ups, procedures, and urgent bookings.
  • Process referrals and maintain wait lists.
  • Use Accuro EMR to manage charts and upload results.
  • Coordinate surgeries and hospital bookings.
  • Process imaging, lab, pathology, and audiology results.
  • Manage outstanding requisitions and referrals.
  • Answer high-volume calls and triage patient concerns.
  • Communicate with hospitals, diagnostic centers and referring providers.
  • Assist with forms and uninsured billing.
  • Perform disinfection and decontamination of equipment and rooms.
  • Manage office inventory.

Job description

We are a busy, single-surgeon otolaryngology (ENT) practice in Woodstock, ON providing specialized care in disorders of the ear, nose, throat, head, neck and facial aesthetics. Our clinic manages a mix of consultations, procedures, minor in-office interventions, and surgical patients. We use Accuro EMR and work closely with hospitals, imaging centers, audiology, and referring providers.

The Medical Office Assistant (MOA) is the central coordinator of patient flow and communication in the clinic. This role requires strong organizational skills, attention to detail, and the ability to manage a high volume of referrals, results, and surgical coordination while maintaining compassionate, professional patient interactions.

The role offers a base pay of $23 per hour, plus the opportunity to earn two performance-based bonuses of up to $5,000 each.

Qualifications
  • ≥ 2 years of MOA experience (experience as a surgical MOA is highly desirable)
  • Strong interpersonal skills
  • Desire to work with diverse patients requiring clinical and surgical management
  • Candidates who have worked with surgical services within Ontario are preferred
  • Certification by a medical office assistant program is favoured
  • Experience with Accuro Medical Records System
The successful candidate will be responsible for performing the following functions in the clinic:
  • Front desk reception and patient registration

  • Processing referrals and maintaining wait lists
  • Using Accuro EMR to manage charts, upload results, and track tasks

  • Managing outstanding requisitions and referrals
  • Answering high-volume calls and triaging patient concerns
  • Communicating with hospitals, diagnostic centers, and referring providers
  • Assisting with forms and uninsured billing
  • Performing basic disinfection and decontamination of equipment and exam rooms
  • Management of office inventory (printer toner, paper, stationary etc)
Assets
