The ideal candidate has at least 3 years MOA experience, a valid MOA certificate, and proficiency with LibreMD EMR.

Qualifications

  • Minimum 3 years of MOA experience in a medical clinic.
  • Valid MOA certificate or formal training.
  • Experience with LibreMD EMR or another Canadian EMR system.
  • Familiarity with Manitoba Health billing procedures is an asset.
  • Strong organizational and communication skills.

Responsibilities

  • Manage patient appointments, including scheduling, rescheduling, and confirming visits across multiple providers.
  • Maintain accurate and confidential patient records using LibreMD EMR or equivalent Canadian EMR systems.
  • Prepare patient charts for clinical visits, ensuring all documentation is complete and up to date.
  • Assist with physician billing processes in compliance with Manitoba Health requirements.
  • Process patient referrals, lab requisitions, and prescription renewals efficiently and accurately.
  • Provide exceptional front-desk service, greeting patients warmly and addressing inquiries with professionalism and empathy.

Summary:

The Medical Office Assistant (MOA) at Rehoboth Medical Clinic plays a vital role in supporting the seamless operation of a patient-centred, multidisciplinary healthcare practice. Reporting to the Practice Manager, this position ensures efficient administrative and clinical workflows while delivering compassionate, high-quality care to patients across the Steinbach community and surrounding areas. The ideal candidate is a proactive, detail-oriented professional with a strong commitment to patient service and clinic excellence. By maintaining accurate records, managing scheduling, supporting billing processes, and contributing to a positive patient experience, the MOA helps uphold the clinic’s mission of accessible, reliable, and holistic healthcare. This role is essential to the clinic’s ability to serve patients effectively in a fast-paced, collaborative environment.

Responsibilities:

  • Adhere to all privacy regulations, including PIPEDA and PHIA, ensuring patient confidentiality at all times.
Requirements
  • Minimum 3 years of experience as a Medical Office Assistant in a medical clinic setting.
  • Valid Medical Office Assistant Certificate or equivalent formal training.
  • Proven experience using LibreMD EMR or another Canadian EMR system.
  • Familiarity with Manitoba Health physician billing procedures is an asset.
  • Strong organizational and time management skills with the ability to multitask in a fast-paced environment.
  • Excellent communication, interpersonal, and customer service skills.
  • Proficient in Microsoft Office Suite and electronic documentation systems.
  • High level of discretion, integrity, and commitment to patient confidentiality.
  • Ability to work independently and as part of a collaborative healthcare team.
