Qualifications

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two (2) years of experience in academic program administration within a University, teaching hospital or comparable environment.
  • Experience coordinating time-sensitive projects and managing multiple priorities.
  • Experience coordinating course materials, assessment and evaluations, and applying relevant policies and procedures.
  • Experience coordinating exams, room bookings and event logistics.
  • Experience providing committee support and updating and editing course materials.
  • Experience compiling and analyzing data and generating reports.
  • Advanced computer skills, including proficiency with MS Office Suite, MS Teams, Adobe Acrobat Professional, Web Conferencing platforms (Zoom, Teams), student information systems (MEDSIS) and learning and content management systems.
  • Ability to communicate effectively both verbally and in writing and excellent interpersonal skills.
  • Excellent time management skills and the ability to keep others on track in a collaborative manner.
  • Demonstrated ability to work with a wide range of stakeholders, including but not limited to students, staff, and university and hospital officials
  • Ability to function independently with strong organizational skills
  • Attention to detail and strong problem solving skills, with an ability to exercise good judgment and discretion

Responsibilities

  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Coordinating the development and maintenance of online course information and organizing and circulating course evaluations, including coordinating the submission process for student grades/marks
  • Providing basic support in resolving technical issues, and general referrals to individuals in distress
  • Providing detailed information on program and courses
  • Coordinating the recruitment and training processes of student volunteers and adjudicators; Disseminating, collecting, and analyzing surveys
  • Providing committee support and writing routine documents and correspondence including taking meeting minutes and preparing meeting agendas; Editing content for brochures, newsletters, websites and/or handbooks
  • Resolving issues within the scope of the role and escalating problems as required
  • Keeping well-informed on university programs, policies, and procedures
