Job summary

Bromwich+Smith in Calgary seeks a Manager, Office Services to oversee the daily operations of the downtown office and support facilities across our national locations. You will lead reception, facilities, supplies, equipment, and vendor relationships to ensure a safe, functional workplace.

Manager, Office Services

Location: Downtown Calgary
Reports to: Director, Human Resources

The Opportunity

Bromwich+Smith is looking for an organized, practical, and service-focused Manager, Office Services to oversee the day-to-day operation of our Calgary corporate office and support facilities across our national locations.

This role is responsible for creating safe, functional, and welcoming workplaces where employees have the tools, resources, and support they need to do their best work. You will oversee reception, facilities, office equipment, maintenance, vendors, leases, workplace safety, and administrative services.

You will also lead a small team, manage the facilities budget, support office moves and workplace initiatives, and work closely with leaders, employees, landlords, vendors, and service providers.

This opportunity is well suited to someone who enjoys solving problems, building strong working relationships, improving processes, and keeping many moving pieces organized.

What You’ll Do
Lead Office Services and Reception

Oversee the daily workflow of the reception team and ensure work is completed accurately and on time.

Manage office supplies, equipment, shared spaces, meeting rooms, kitchens, and other workplace resources.

Ensure photocopiers, appliances, phone systems, and general office equipment remain functional and appropriately maintained.

Support employee onboarding by coordinating office access, workspaces, equipment, and other workplace requirements.

Respond to office-related requests and ensure employees receive timely and helpful support.

Participate in the internal service queue and coordinate with Information Technology when office needs involve technology or meeting-room equipment.

Support executive and company events as required.

Coordinate Facilities Across B+S Locations

Oversee the maintenance, repair, cleanliness, safety, and functionality of leased office spaces.

Coordinate contractors and service providers for repairs, maintenance, cleaning, security, furniture, and equipment.

Manage relationships with landlords, property managers, vendors, and service providers.

Review lease requirements, support renewals, and coordinate leasing and office operations across national locations.

Plan and coordinate office moves, renovations, furniture changes, and workspace improvements.

Support larger office projects by developing plans, budgets, timelines, and vendor requirements.

Address facility concerns, service issues, and vendor disputes professionally and promptly.

Maintain organized records for leases, contracts, maintenance, assets, and office services.

Manage Budgets, Contracts, and Costs

Develop and manage the annual facilities and office services budget.

Review and approve invoices and expenditures in accordance with organizational policies and approval limits.

Manage vendor contracts and evaluate pricing, performance, service quality, and value.

Reconcile expenses and ensure billing is accurate, complete, and appropriately documented.

Analyze spending and identify opportunities to reduce costs without negatively affecting employee experience or business operations.

Support cost-effective approaches to travel, equipment, supplies, facilities, and administrative services.

Improve purchasing and approval processes to reduce unnecessary manual work and delays.

Support Workplace Safety, Wellness, and Engagement

Help maintain a safe, clean, accessible, and professional office environment.

Support compliance with occupational health and safety requirements, fire regulations, emergency procedures, and workplace standards.

Lead or support the Social Committee and workplace safety and wellness initiatives.

Coordinate emergency preparedness activities, inspections, drills, and safety-related follow-up.

Support workplace events and initiatives that strengthen employee connection, engagement, and pride in the organization.

Work with Human Resources and leaders to respond to workplace needs and improve the employee office experience.

Lead and Develop the Team

Lead, coach, and develop approximately one to two direct reports.

Establish clear responsibilities, goals, service expectations, and performance measures.

Provide regular feedback, support employee development, and address performance concerns when required.

Delegate work effectively while maintaining accountability for service quality and results.

Build a responsive, respectful, and service-oriented team culture.

What You Bring

Four to five years of progressively responsible experience in office administration, office services, facilities coordination, or a related role.

Previous experience supervising or leading employees.

Secondary school completion combined with specialized training or certification in office administration, facilities management, business, or a related area.

An equivalent combination of education and relevant experience may be considered.

Experience managing office facilities, maintenance requests, vendors, contracts, budgets, and service providers.

Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.

Strong customer service and relationship-building skills.

Clear and professional written and verbal communication.

The ability to make sound decisions, solve problems, and respond calmly to urgent workplace issues.

Experience reviewing invoices, managing expenses, and identifying cost‑saving opportunities.

Strong attention to detail and follow‑through.

Proficiency in Microsoft Office and comfort learning workplace, finance, service‑management, and communication systems.

A Facilities Management Professional designation, or equivalent facilities or office management training, would be considered an asset.

Training in performance management, workplace safety, emergency preparedness, project coordination, or office management would also be an asset.

Leadership Responsibility

This role leads approximately one to two employees, including reception and office support positions.
