Position Summary

Reporting to the Executive Director, the Maintenance and Operations Coordinator manages the day-to-day office operations and procedures, including the oversight of organizational effectiveness, efficiency, and safety. The Maintenance and Operations Coordinator will also manage an inventory of maintenance materials and supplies, as well as ensuring compliance with safety and health, including regulations and standards.

Key Responsibilities

  • Collaborate with the Executive Director’s office and with the department leads to set and implement internal policies, procedures, and systems to ensure effective service delivery of all internal maintenance and operations.
  • Responsible for obtaining Office keys for new and existing program employees.
  • Oversee the AMC Alarm system, including taking calls and responding to alerts.
  • Coordinate the activation of Door FOBs and function as the point of contact for the security company.
  • Responsible for the inventory and signing out of Cameras and other photography equipment (i.e. Lights, backdrops)
  • Oversee the requests from departments and employees regarding office moves, including moving office furniture and desks.
  • Responsible for the Installation of wall boards and drilling into walls i.e. hanging up pictures/corkboards, etc.
  • Document and track all maintenance and operations requests from departments.
  • Collaborate with the Office Manager to maintain the floor plans of the building, including the planning of program office moves as required.
  • Work collaboratively with the Senior Management team and program areas to ensure that maintenance requests are responded to in a timely and efficient manner.
  • Collaborate with the IT department to plan and coordinate the quarterly AMC Assemblies, including the set up of all non-electronic equipment, loading and unloading the U-Haul, and storing items after events.
  • Prioritize conflicting priorities and requests regularly.
  • Arrange and execute regular maintenance and upkeep on all AMC program vehicles.
  • Use mechanical expertise to ensure buildings and facilities are well-managed.
  • Provide regular team, building operations, equipment status and inventory reports.
  • Perform on-demand maintenance or outsource if necessary.
  • Collaborating with the building owner/maintenance person to ensure the safety of AMC staff, including organizing snow removal, salt, sanding, and property maintenance as required.
  • Lead and support the development and implementation of important operations and maintenance planning.
  • Responsible for managing AMC storage locations and year-end documents i.e. moving confidential documents annually to storage units, including removing, shredding, and cleaning storage locations.
  • Participate in special projects and committees as directed.
  • Other duties as assigned.

Qualifications

Education & Experience

  • Completion of a Diploma or Post Secondary degree in business administration or in a discipline related to facility operation and maintenance. A combination of education and experience may be considered.
  • Minimum of three years working in a coordinator or maintenance role.
  • Ability to work in a fast-paced environment.
  • Excellent organizational skills coupled with the ability to be accurate, thorough, and able to monitor work for quality.
  • Demonstrated experience in the use of hand & power tools.
  • Understanding of basic safety concepts and willingness to work within required safety requirements
  • Experience using an HRIS system; experience in Bamboo is considered an asset.
  • Ability to lift 50 lbs and be in good physical condition.
  • Must be adept at problem-solving, including being able to proactively identify issues and recommend resolutions in a timely manner while keeping all matters confidential.
  • Adaptable and flexible with a demonstrated ability to take initiative.
  • Ability to work independently and as part of a team with frequent interruptions.
  • Excellent interpersonal and communication skills with the ability to communicate effectively, both orally and in writing.
  • Proficient use of Microsoft Office software including Word, Excel, and Outlook.
  • Adhere to AMC policies and procedures with specific attention to attendance, and professional ethics.
  • Knowledge of traditional First Nation philosophy and contemporary practices.
  • Must have a valid Class 5 driver’s license and a reliable vehicle.
  • Must have a current satisfactory Criminal Record Check and Clear Child Abuse Checks.
