Job summary

Grand Touring Automobiles in Oakville, Ontario is seeking a Warranty Administrator and Service Coordinator to join our luxury service team. This hybrid role combines warranty administration with service coordination, requiring accuracy, discretion, and a customer-first mindset to support a seamless ownership experience.

You will review and submit warranty claims, manage repair orders, coordinate vehicle pickups, and maintain precise warranty records.

Qualifications

• Previous automotive dealership experience is required.
• Experience using CDK Drive is required.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Excellent written and verbal communication skills with customers, manufacturer reps, service staff, and management.

Responsibilities

• Prepare, review, and submit manufacturer warranty claims accurately and within established timelines.
• Review warranty repair orders for completeness, accuracy, legibility, and compliance with manufacturer and dealership policies.
• Identify and enter labor operation codes, failure codes, and other required administrative information.
• Return incomplete or inaccurate repair orders to the appropriate team member for correction and follow up to ensure timely resubmission.
• Monitor the status of submitted, rejected, returned, and paid claims with accurate records.
• Coordinate with manufacturer warranty representatives when required and pursue outstanding reimbursements.
• Coordinate vehicle pickups, deliveries, and loaner arrangements as required.
• Create, update, and maintain repair orders and customer records using CDK Drive.
