Job summary

Nippon Express Canada Ltd. is seeking a Logistics Coordinator to provide high-quality client service support and monitor performance for customer and vendor activities.

The role acts as the primary contact for Logistics & Trucking (L&T) and other Nippon departments, communicating via email, phone, and TMS systems. Responsibilities include coordinating cross-border and domestic shipments, selecting carriers, tracking orders, and issuing freight bills and invoices.

Qualifications

• 1–3 years of experience in 3PL, load brokerage or dispatch operations.
• General knowledge of the freight forwarding CIFFA environment.
• Ability to deliver quality service by understanding customer needs and requirements.
• Strong verbal and written communication skills.
• Good time management and ability to meet deadlines.
• Basic knowledge of Microsoft Office products including Excel and Word.

Responsibilities

• Arrange transportation and movement of goods based on customer demands, including cross-border and domestic shipments.
• Coordinate pickups and deliveries with trucking companies, airlines and facilities.
• Ensure shipment accuracy and minimize delays through proactive communication.
• Provide prompt, accurate communications with customers, branches, and subcontractors.
• Track and trace orders and report anomalies.
• Assist with quotes, orders, and sales inquiries with excellent customer service.
• Advise clients on transportation and payment methods and issue freight bills and invoices.
• File invoices, orders, PODs, and collect payments as required.
• Enter carrier qualification information and reconcile customer accounts.
• Support manager in ongoing system and process improvements.
• Perform other duties as needed.

JOB SUMMARY

The Logistics Coordinator will be responsible for providing high quality client service support, monitoring and reporting of customer and vendor performance. The Logistics Coordinator will act as primary means of contact for Logistics & Trucking (L&T) customer base as well as internal Nippon Express departments and will be responsible for maintaining various forms of communication including e-mail, telephone, internal TMS systems and verbal between Nippon external and internal customers as well as L & T staff.

RESPONSIBILITIES

• Arrange transportation and facilitate the movement of goods based on customer demands, including cross-border, domestic, FTL, LTL, white grove, oversize, and dangerous goods etc.
• Coordinate pickup and delivery orders with trucking companies, airlines and/or bonded facilities
• Ensure accuracy on shipments and minimize risk of delay by communicating with customers and vendors
• Prompt and accurate communication with customers, external and internal branches, and sub-contractors
• Track and trace orders and report any anomalies
• Provide excellent customer service with prompt handling of quotes, orders, and sales inquiries
• Advise clients on transportation and payment methods, including the issuance of freight bills and invoices to brokers and/or customer. Including proper record retention and filing of documentation
• Filing of invoices, orders, PODs, and collect payments for the same
• Collect, audit and accurately enter carrier qualification information
• Reconcile/balance customer accounts and ledgers by collection and analyzing account information
• Assist manager with ongoing improvement of systems, projects, procedures and processes
• Various other duties as may be Required

QUALIFICATIONS

• 1-3 years’ Experience in 3PL, load brokering operations or dispatch operations
• General knowledge of the freight forwarding CIFFA environment
• Ability to provide quality service for our customers by understanding their needs and requirements
• Strong communication skills, verbal and written
• Strong time management; able to prioritize tasks
• Ability to remain calm in stressful situations, work under pressure and meet deadlines
• Critical thinking and problem solving
• Basic knowledge of Microsoft Office products, including Excel and Word

EDUCATION/CERTIFICATIONS

High school diploma
TDG certification is an asset
