Now Hiring : Licensed Executive Assistant to a Top-Producing Realtor (Toronto West End)

One-on-one support. One big opportunity. One incredible team behind you.

We’re looking for a Licensed Executive Assistant to work directly with one of our top-producing agents in the West End of Toronto (High Park, Bloor West Village, Junction, etc.). This is a chance to be the right hand to someone who’s growing fast and needs a high-energy, detail-driven partner to help run the show — from showings and open houses to paperwork, organization, and client care.

You’ll have the support of our tight-knit, family-style real estate team , but your main focus will be working 1 : 1 with one amazing agent who's looking to scale — with your help.

What You’ll Be Doing

Deal & Transaction Support

  • Keep paperwork organized, submitted, and compliant before closing
  • Handle admin tasks related to listings, offers, and client documentation
  • Be proactive — not reactive — with follow-ups and missing pieces

Licensed Field Support

  • Run showings, host open houses, and cover appointments when the agent can’t be in two places at once
  • Follow up with leads and visitors
  • Step confidently into the client experience when needed

Schedule, CRM & Business Organization

  • Stay cc’d and help manage the moving parts — showings, signings, client visits
  • Keep the CRM updated and help with client touchpoints (past and present)
  • Track down IDs, gather documents, and check those little boxes that make a big difference

Social Media & Marketing Support

  • Assist with content creation — think : video editing, writing captions, coming up with content ideas
  • Help build and maintain a content calendar for consistent posting
  • Be a creative partner in boosting our presence on Instagram, TikTok, and beyond

Listing Coordination

  • Upload listings to MLS and ensure details are accurate and complete
  • Get paperwork signed quickly and professionally
  • Schedule photographers, stagers, cleaners, and home inspections — and make sure everything is ready to shine
  • Bring new ideas for client care, processes, or promotions
  • Step in where needed without being asked — this is a role for someone who runs toward the action
  • Help protect the agent’s time and support long-term growth

Who You Are

  • RECO-licensed with 1+ year of experience in real estate
  • Strong administrative and organisational background — you’re the type who thrives on structure, checklists, and keeping people (and deals) on track
  • Detail-oriented and proactive — you notice the little things before they become big problems
  • High energy and confident in client-facing situations
  • A fast learner who doesn’t wait to be told what to do — you take initiative
  • Comfortable juggling tasks and wearing different hats throughout the day
  • Excited to support a top-producing agent directly, while still being part of a fun, collaborative team environment
  • Willing to occasionally put in extra hours when needed and treat this like a true partnership

  • Base salary or hourly pay depending on your experience
