Job summary

JLL is seeking a Facilities Coordinator/Planner/Scheduler for our industrial client facilities in Fort McMurray, AB. You will oversee work orders in CMMS, coordinate preventive maintenance, and act as the liaison between technicians, management, and clients to ensure safe, compliant, and efficient operations.

Qualifications

• Associate degree or equivalent in business/facilities management.
• 2–3 years in administration or coordination, facilities preferred.
• Proficient in MS Office and CMMS or similar systems.
• Strong written and verbal communication with diverse stakeholders.
• Knowledge of basic facility operations terminology and maintenance processes.

Responsibilities

• Manage work orders in CMMS: create, track, close with proper documentation.
• Schedule preventive maintenance and vendor visits to minimize disruption.
• Serve as primary contact for service requests and escalate issues as needed.
• Support procurement: quotes, purchase requisitions, and budget records.
• Maintain equipment records, warranties, service agreements, and compliance docs.
• Prepare operational reports and KPI dashboards for management review.
• Coordinate safety documents: permits, safety orientations, certifications.
• Assist with invoice processing and approvals; ensure proper coding.
• Support Facilities Manager with meetings, project tracking, and admin tasks.
