Job summary

Ausenco in North America is seeking an experienced Proposals Coordinator to support proposal development, qualification, and presentation activities. The role involves coordinating knowledge capture across offices to create integrated offerings and ensuring compliant, competitive responses to RFPs, RFIs, and EOIs.

Qualifications

• 1–2 years of experience providing proposal coordination.
• Critical thinker; able to pose relevant questions to enable completion of low-definition tasks.
• Solid verbal and written communication skills in English.
• Proficient in all Microsoft Office software.
• Excellent team player and able to work collaboratively with others.
• Must be self-motivated, confident, energetic, and creative.
• Ability to perform under tight deadlines.

Responsibilities

• Coordinate to align and capture knowledge to develop an integrated offering of Ausenco’s services to our clients.
• Coordinate the successful development of compliant, competitive, and compelling proposals, RFIs, pre-qualifications, and EOIs through cross-team collaboration.
• Assist with kick-off, win planning, proposal technical review and other meetings as necessary.
• Provide guidance on Ausenco’s processes, procedures and standards to ensure compliance.
• Identify response requirements and develop a realistic approach and schedule for proposal responses.
• Develop innovative solutions or leverage the corporate network to respond to client challenges and create a competitive edge.
• Collect company data or conduct internal/external research for opportunity response documents and strategy development.
• Develop and maintain non-opportunity specific/additional sales qualification and reference materials.
• Develop win-themes and key messages and ensure they are integrated into proposal sections.
• Conduct client, competitor and market research to support strategy development.
• Ensure the completed proposal aligns with client requirements and the RFP.
• Conduct proposal debriefs with clients and staff, collating lessons learned for future proposals.
• Communicate and collaborate with key stakeholders to gather proposal content.
• Organize and participate in response-related meetings (internal/client).
• Ensure adherence to templates and brand standards in proposals.
• Proof and edit technical and non-technical documents for consistency.
• Performs other duties as assigned.
