Job summary

Minted Search Group's client, a well-established HVAC and mechanical services company, is seeking a Service Coordinator / Administrator in Brampton to support day-to-day service operations across commercial, industrial, and critical environments.

You will coordinate technicians, manage work orders, liaise with customers and vendors, and provide administrative support throughout the service process, reporting to the Director of Operations and Director of Mechanical Services.

Qualifications

• Minimum 2–3 years HVAC/mechanical or related field-service experience.
• Strong organizational, scheduling, and administrative skills.
• Excellent written and verbal communication.
• Strong customer-service skills and professional handling of requests.
• Ability to prioritize urgent requests while managing multiple service calls.
• Attention to detail and accurate documentation.
• Ability to work with field technicians and internal teams.
• Experience with electronic work-order or scheduling software.
• Ability to work independently in a collaborative team.

Responsibilities

• Coordinate day-to-day service activities, scheduling appointments and dispatching technicians.
• Optimize technician schedules by customer requirements, urgency, location, and capabilities.
• Prioritize and dispatch emergency and non-emergency service calls.
• Serve as primary contact for customers and vendors on requests, quotes, orders, invoices, and deliveries.
• Monitor technician field reports and ensure completed work is documented.
• Provide technicians with information and documentation to complete service calls.
• Create, open, update, and manage work orders in the software platform.
• Review field reports and assist with basic maintenance quotes.
• Prepare time-and-material and maintenance invoices.
• Keep customers informed regarding scheduling and activity.
• Assist with general administrative and customer-service requirements.
