Job summary

The Care Group in Coquitlam is seeking an HR Specialist to manage day-to-day HR operations, recruitment, onboarding, and employee relations, working closely with leadership to support people initiatives.

You will drive HR projects, implement Dayforce HRIS, and help maintain policies while ensuring compliance across sites. Strong communication, 1–2 years of HR experience, and confidentiality are essential for success.

Qualifications

  • 1-2 years of HR Specialist experience.
  • Degree, diploma or certificate in Human Resources or a related field.
  • Experience with DayForce HRIS or similar required.
  • Strong experience with multiple union Collective Agreements and provincial employment standards and legislation.
  • Experience implementing HR projects.
  • Strong tech skills including MS Office, Word, Excel, Teams.
  • Strong teamwork and excellent communication and interpersonal skills.
  • Ability to manage time effectively with minimal supervision.
  • Ability to operate with high integrity and confidentiality.
  • Willingness to travel to sites for in-person work.

Responsibilities

  • Recruitment: assist with recruitment initiatives, screen candidates, and coordinate interviews.
  • Onboarding/Offboarding: draft contracts, create job descriptions, coordinate new-hire onboarding.
  • Coordinate onboarding tasks, orientations, and exit interviews; data entry in HRIS.
  • Work with IT to ensure equipment and account setup for new hires.
  • Performance Management: coordinate annual reviews.
  • Policy and Strategy: develop HR programs and lead Dayforce implementation.
  • Communication and Culture: advise on policies, update employee handbook, and foster engagement.
  • Lead change initiatives to enhance culture and engagement.
  • Manage social media presence and internal communications with leadership.

Job description

This is an on-site position at Head Office in Coquitlam – 5 days per week - Monday - Friday business hours

The Human Resources (HR) Specialist manages the day-to-day operations of the Human Resources Office. The HR Specialist works collaboratively with our leadership team and various stakeholders to assist with HR project, policy creation and employee relations experience. In addition, the HR Specialist will be working at the heart of people operations, processes, recruitment initiatives, and everyday tasks that make The Care Group (TCG) the preferred Employer

Specific Duties and Responsibilities:
  • Recruitment:
    • Assist with recruitment initiatives and understanding the company needs, objectives and goals through candidate screening and phone interviews, ensure candidate has a valid status to work in Canada/ability to get a valid work permit.
    • Manage job postings in JazzHR, on Company Website, and Dayforce.
    • Coordinate interviews for the leadership team, gathering interview feedback from both the candidate and the hiring manager
    • Perform reference checks.
    • Participation and execution of our company presence at various career fairs
    • Establish and maintain relationshipswith colleges to attract talent.
  • Onboarding/Offboarding:
    • Draft, review, and coordinate employment contracts for VP and/or Director of HR to review and sign.
    • Create and modify job descriptions.
    • Prepare paperwork and schedules for a smooth new-hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience.
    • Coordinate and performtasks for onboarding, new-hire orientations, and exit interviews, including data entry in human resources information system and audits for accuracy and compliance.
    • Coordinate with IT to ensure new employees have the equipment needed and their account is set up properly.
    • Execute the offboarding process for terminated employees. This includes liaising with IT, Payroll, Finance, and applicable leadership team.
    • Responsible for ensuring all new hires have signed and provided all documentation required in their first week.
    • Coordinate and assist the leadership team to manage a robust onboarding process using Dayforce.
    • Work closely with our immigration consultant in providing accurate documents for LMIA sponsorship application and Provincial Nominee Program.
  • Performance Management:
    • Coordinate employee performance management and annual reviews.
  • Policy and Strategy:
    • lead in the development and implementation of HR programs, policies, and procedures.
    • Lead HR component of Dayforce HRIS implementation.
    • Develop understanding of collective bargaining agreement and support in negotiations.
    • Work with Worksafe consultant to ensure safety is appropriate and return-to-work plans are established as required.
    • Suggest new procedures and policies for improving employee experience as well as the efficiency of the HR department and company
    • Participate in the development of HR objectives and systems, including metrics, queries, and ongoing reports for company requirements.
    • Updating HR documents and staff records and prepare monthly dashboard turnover reports.
    • Participate in succession and development initiatives.
  • Communication and Culture:
    • Be a key stakeholder and team member that plays a critical role in The Care Group (TCG) culture
    • Advise leadership and employees on the interpretation of human resources policies, procedures, team member guidebook, benefits programs, and collective agreements.
    • Coordinate employee engagement survey and actions feedback
    • the communication, interpretation, and upkeep of employee handbook, employee/company directory, and organizational chart, and contribute to policy development
    • Provide a dedicated and effective HR advisory service to leadership team and employees that covers absence and health issues, conduct and capability, grievances, organizational change, and all other employee-relation matters.
    • Lead change initiatives to enhance company culture and employee engagement.
    • Manage social media platforms – develop strategies to increase awareness tailored to each of our home, and aligned with TCG mission, vision, and values.
    • Posting, monitoring, and producing contains, reviewing analytics in collaboration with VP of .Operations for our social media presence.
    • Collaborate with leadershipon scheduled posts and responding to comments and messages on social media.
    • Participates in administrative staff meetings and attend other meetings and seminars
    • Provides necessary education and material to managers and employees including workshops, manuals, employee handbooks, and standardized reports.
  • Perform other duties as assigned.
Education, Skills and Experience Required:
  • 1-2 year of HR Specialist experience.
  • A degree, diploma or certificate in Human Resources or a related field.
  • Strong experience with multiple union Collective Agreements and Provincial employment standards and legislation.
  • Experience implementing HR Projects.
  • Experience with DayForce HRIS or similar required.
  • Strong tech skills, including MS Office, Word, Excel, Teams is a must.
  • Strong team work and excellent communication and interpersonal skills.
  • Aptitude for problem-solving and thorough knowledge of HR procedures and policies.
  • Ability to manage time effectively and prioritize tasks with minimal supervision.
  • Ability to operate with high level of integrity and confidentiality.
  • Physically and mentally able to perform the duties of the job in the working environment.
  • Resourceful mindset and an impeccable attention to detail.
  • Ability to build internal relationship with individuals at all levels, as well as external relationship with local agencies ad post -secondary institutions
  • Preferred background in long term care or service environment.
  • Able to drive travel to sites for in person.
  • A great sense of humor

Note: Successful applicant will work from Coquitlam Office 90-95% of the time and at other sites for the remainder.
