The opportunity

The HR Systems and Process Specialist role is a key position within the HR Enablement team in Canada, reporting to the Senior HR Systems Specialist. This role supports day-to-day HR operations, ensures accurate data management, system functionality, reporting, compliance, and manages time-off processes. It also involves improving talent operational effectiveness by formalizing and enhancing end-to-end processes. The role collaborates with stakeholders across the firm, including recruitment, talent consultants, payroll, total rewards, partnership operations, IT, and liaises with EY’s third-party Talent Managed Service provider (IBM). Responsibilities vary and require HR technology knowledge, experience, and skills. This position is open to any office location in Canada.

Your key responsibilities
HR Data Management:
  • Manage HR data within SuccessFactors, focusing on Onboarding, Employee Central, and Time-Off modules.
  • Maintain interdependencies between SuccessFactors and other systems (e.g., ServiceNow, Financial System, Payroll, Benefits).
  • Manage foundational data creation and updates to picklist values or data elements.
  • Audit and analyze data to ensure integrity, working with employees or Managed Services (IBM) for resolution.
  • Support large data change activities, including mass uploads, salary changes, promotions, and hires.
Project Implementation
  • Assist with project configuration, testing, and creating instructional materials like Quick Reference Guides and Work Instructions.
  • Support the Canada Talent Team on various projects and initiatives throughout the year.
Process Documentation
  • Document process changes and update related materials.
  • Participate in meetings to understand scope and impacts of changes.
  • Recommend process improvements.
Day-to-Day Talent Operations
  • Support daily talent operations, including vacation tools, provisioning, and compliance sites.
  • Act as Level 2 support in ServiceNow for HR systems maintenance and troubleshooting.
  • Maintain knowledge content in databases like SharePoint and policy repositories.
  • Analyze impacts of system updates and enhancements.
  • Produce reports related to HR and talent data as needed.

Minimum qualifications
  • Bachelor’s degree or equivalent experience.
  • 1-2 years experience in HR systems administration and operations.
  • Experience with SuccessFactors is an asset.
