Role Overview:
The HR Generalist will support the Head of HR and be responsible for a broad range of HR functions, including recruitment, onboarding, HR compliance, employee relations, and general HR administration. This role is ideal for someone who thrives in a fast-paced startup environment, enjoys multitasking, and is passionate about building a positive workplace culture.
Key responsibilities include:
Recruiting & Candidate Management
Manage the end-to-end recruitment process: job postings, resume screening, initial interviews, coordination, candidate engagement, and offer letters.
Collaborate closely with hiring managers to understand role requirements, help develop and update job descriptions, and establish recruitment strategies.
Engage directly with prospective candidates to ensure a positive experience throughout the process, while building the employer brand.
Liaise with external and third-party recruiters, staffing agencies, and job boards as needed to manage candidates and vendor relationships.
Manage and maintain the Applicant Tracking System (ATS), including updating pipelines as well as ensuring timely communication and feedback to all stakeholders.
Onboarding & Offboarding
Coordinate onboarding for new hires, including welcome communication, adding them to the HRIS, overseeing account access and device purchases, while ensuring a seamless and positive experience.
Facilitate orientation to ensure new hires have the tools and support they need to succeed in their first 90 days.
Manage offboarding processes, including compliance around separation letters, final payments, and retrieval of company property as well as exit interviews and documentation.
HR Compliance & Recordkeeping
Advise on and ensure compliance with Canadian employment laws and company policies by staying current with all relevant federal and provincial employment legislation, including the Canada Labour Code and applicable provincial employment standards acts.
Regularly review and update HR policies and procedures to reflect legal changes and best practices.
Develop, maintain, and communicate accessible HR documents and policies for managers and employees, ensuring alignment with current employment laws and organizational standards.
Maintain accurate and up-to-date HRIS and personnel files (electronic and paper), ensuring all records are complete, current, and securely stored in accordance with Canadian data protection and record retention laws.
Conduct periodic self-audits of HR processes and records to identify gaps, ensure ongoing compliance, and implement corrective actions as needed.
Generate and submit required HR reports to regulatory bodies, management, and other stakeholders, ensuring accuracy and timeliness.
Escalate compliance issues promptly and participate in real-time resolution to mitigate legal and reputational risks.
Employee Relations
Serve as a point of contact for employee questions regarding HR policies, benefits, and workplace issues.
Support the resolution of employee relations matters, including conflict resolution and disciplinary actions.
Provide guidance to managers on handling workplace concerns and support employee programs, including performance reviews.
Payroll Management
Process payroll changes related to new hires, terminations, compensation, and bonuses.
Collaborate with finance and managers to calculate commission, bonus, and reimbursements as well as withholdings as needed.
Ensure compliance with payroll tax regulations in Canada and the US, including helping to review, organize, and resolve incoming notices.
Benefits & HR Administration
Support benefits administration, employee enrollment, and claims inquiries.
Support the development and implementation of HR policies and initiatives, including building company culture and training and development programs.
Qualifications:
Bachelor’s degree in Human Resources, Business Administration, or related field.
2–5 years of HR experience, ideally as a generalist in a fast-paced environment.
Strong knowledge of Canadian employment laws and HR best practices.
Experience with recruitment, onboarding, and HRIS systems (Ashby and Rippling).
Quick learner who is extremely proactive, detail-oriented, and adaptable.
Excellent communication, organizational, and problem-solving skills.
Ability to handle sensitive information with discretion and professionalism.
Proficiency in Google Workspace, Slack, Notion, Ashby, and Rippling.
