Position Title: Front Desk Receptionist

Department: Band Administration
Reports To: Executive Assistant
Position Type: Full-time/Regular
Location: Band Administration Building

About the Role

We'koqma'q First Nation is seeking a friendly, organized, and professional Front Desk Receptionist to join our Administration team.

As the first point of contact for community members, visitors, vendors, and external partners, the Front Desk Receptionist plays an important role in creating a welcoming and positive experience for everyone entering or contacting the Administration Office. The successful candidate will provide reception, clerical, and administrative support while assisting clients in accessing programs and services throughout the organization.

Key Responsibilities

Reception & Customer Service

  • Serve as the first point of contact for visitors, community members, and callers.
  • Answer, screen, and direct incoming telephone calls in a professional and courteous manner.
  • Greet and assist walk-in clients, visitors, contractors, and vendors.
  • Respond to general inquiries and direct individuals to the appropriate department or staff member.
  • Ensure visitors are welcomed and assisted in a timely manner.

Administrative Support

  • Provide clerical and administrative support to various departments as required.
  • Prepare, type, format, and distribute correspondence and documents.
  • Assist with filing, scanning, photocopying, faxing, and other office duties.
  • Manage incoming and outgoing mail and deliveries.
  • Schedule appointments and maintain calendars when required.

Office Coordination

  • Maintain daily attendance records and assist with the collection of attendance information from departments.
  • Assist with maintaining office supplies and coordinating orders as required.
  • Maintain organized filing systems and records.
  • Support office events, meetings, and community functions as needed.

Information & Communication

  • Develop a general understanding of Band programs, services, and departmental functions to effectively assist community members.
  • Provide accurate information and referrals to clients.
  • Maintain professionalism and confidentiality when handling sensitive information.

Other Duties

  • Perform other related duties as assigned by the Executive Assistant or senior management.
Qualifications & Experience

Required

  • High school diploma (Grade 12) or equivalent.
  • Strong computer skills, including Microsoft Word, Outlook, Excel, and other Office applications.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to provide exceptional customer service in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion.
  • Reliable, dependable, and professional.
Assets
  • Previous experience in a reception, administrative assistant, or customer service role.
  • Knowledge of We'koqma'q First Nation programs and services.
  • Experience working with the public in a professional setting.
  • Experience using office equipment such as multi-line phone systems, scanners, copiers, and fax machines.
