Job summary

Qualifications

Job description

Full-Time Continuing (35 hours per week) MSU Band B (Steps 1-8): $20.640 - $30.029 per hour. $37,566 - $54,652 per annum (Based on 35 hours per week). The competition will remain open until a suitable candidate is found.

MacEwan University is seeking a Front Desk Associate for a full-time continuing opportunity with the kihêw waciston Indigenous Centre.

The Front Desk Associate performs general office and reception duties and serves as the first point of contact for visitors to the kihêw waciston Indigenous Centre, including students, staff, faculty, and community members. The Front Desk Associate processes and performs a variety of duties such as telephone reception, word processing, filing, assisting walk-ins, receiving and ordering couriers, preparing mail outs, and other related clerical responsibilities within clearly defined procedures.

Key responsibilities include:

  • Greeting visitors and answering or redirecting general inquiries in person, by telephone, and via email;
  • Providing visitors with information of services available to Indigenous learners, such as programing offered, as well as a tour of the Centre;
  • Providing first-level responses to inquiries, utilizing discretion and judgment to screen visitors and telephone calls, and clarifying the information and/or services being requested to identify and facilitate access to the appropriate resources, triaging issues as appropriate to ensure timely responses;
  • Setting up and maintaining filing systems, both electronic and hard copy, ensuring compliance with established records management and retention policies, practices, and procedures;
  • Assembling, copying collates, and disseminating a variety of documents and materials;
  • Classifying, sorting, and filing correspondence, records, and other documents;
  • Preparing outgoing mail, faxes, and courier shipments;
  • Operating a variety of office equipment such as photocopiers, fax machines, computers, and assigned software;
  • Supporting the Coordinator, kihêw waciston in dispersing communications and marketing content according to the relevant communications plan, including putting up posters, updating information on the TV screen displays within the Centre, and informing the Office of Communications and Marketing/Web Services of Centre’s event updates and items requiring additional support as required;
  • Planning, organizing, and scheduling meetings in the office, off-site, and via video conference as assigned; and
  • Scheduling and coordinating Centre tours.

  • The ability to take initiative and work independently with minimal supervision;
  • Knowledge and understanding of Indigenous culture; and
  • Proficiency in Microsoft Office (including Word, Excel, Outlook, PowerPoint, Teams, etc.), Adobe Acrobat, Google Drive, and SharePoint.
Qualifications
  • A minimum of a high school diploma.
  • A minimum of 1 year of related experience providing comprehensive administrative support.
  • Indigenous lived experience and an understanding of Indigenous knowledge systems.
  • Direct experience in a post-secondary or related public sector environment is considered an asset.
  • An equivalent combination of education and experience may be considered.
