Job summary

EllisDon is hiring a Fleet Administrator in Canada to support equipment rentals, fleet data, and vendor coordination. You will work with project teams to ensure equipment needs are met, maintain invoices and records, and help plan equipment utilization across projects.

  • Excellent verbal and written communication skills.
  • Familiarity with accounting systems, equipment tracking software, or similar business systems is an asset.
  • Previous experience supporting heavy equipment rentals, fleet operations, or the construction industry is considered an asset.
  • Valid driver's license and access to reliable transportation.

Responsibilities

  • Knowledge of light and heavy construction equipment, including fleet vehicles and common machinery, is an asset.
  • Support equipment billing, invoicing, and chargebacks for fleet and rental equipment.
  • Coordinate equipment and vehicle rentals, including purchase orders and vendor setup.
  • Work closely with project teams, vendors, and site personnel to ensure equipment needs are met and tracked.
  • Maintain accurate records, including invoices, equipment documentation, photos, and repair costs.
  • Assist with equipment planning and utilization to support project requirements.
  • Use Microsoft Office and internal systems to manage equipment-related data with professionalism and attention to detail.
  • Thrive in a fast-paced construction setting, balancing priorities while staying organized.

You As a Fleet Administrator Will
  • Knowledge of light and heavy construction equipment, including fleet vehicles, excavators, loaders, dozers, rock trucks, graders, compactors, and similar equipment, is considered an asset.
  • Support equipment billing, invoicing, and chargebacks for fleet and rental equipment.
  • Coordinate equipment and vehicle rentals, including purchase orders, vendor setup, and rental documentation.
  • Work closely with project teams, vendors, and site personnel to ensure equipment needs are met and tracked effectively.
  • Maintain accurate records, including invoices, equipment documentation, photos, and repair costs.
  • Assist with equipment planning and utilization, ensuring resources are available to support project requirements.
  • Use Microsoft Office, spreadsheets, and internal systems to manage equipment-related data while maintaining a high level of professionalism and attention to detail.
  • Thrive in a fast-paced construction setting, balancing multiple priorities while remaining organized, focused, and composed.

  • The salary range for this job is $50,000.00 - $60,000.00 CAD
