Job summary

Socket.dev is seeking an organized Facilities/Office Services professional to oversee office moves and related administrative tasks. You will coordinate with clients and vendors, manage communications, and ensure moves adhere to policies and timelines.

The role requires 3–5 years in facilities/office services, strong MS Office skills, and excellent communication abilities. A fast-paced environment and cross-functional collaboration are routine, with opportunities to contribute to space

Qualifications

  • Degree/Certification in Facilities/Office Services is preferred.
  • Minimum 3–5 years' work experience in Facilities/Office Services is preferred.
  • Strong computer and Microsoft Office skills are required.
  • Excellent verbal and written communication skills are required.
  • Ability to work in a fast-paced environment with tight deadlines.

Responsibilities

  • Organize and manage all aspects of internal office moves.
  • Receive and process client move requests and coordinate with vendors.
  • Create and distribute move communications and labels to clients.
  • Provide administrative support including answering calls and managing emails.
  • Update FM System and floor plans as needed for reconfigurations.
  • Supervise movers and assist with space enhancements.

Job description

The salary range for this position is $46,500 - $48,000. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. We are committed to offering competitive compensation and comply with all applicable pay transparency legislation. Further details regarding our total rewards program will be shared by the Talent Acquisition team during the hiring process. Canadian work experience is not a requirement for this role. Accountable for the efficient, smooth operation of a job site.

Essential Duties and Responsibilities:
  • Organize and manage all aspects of internal office moves, receive and process client move requests, coordinate with and scheduled vendors, and create and distribute move communications and labels to clients, ensuring the move processes are in accordance with client’s policies and procedures.
  • Provide administrative support such as answering incoming calls, participate in Workplace Services meetings as well as respond and manage Workplace Services (WPS) emails in a timely manner.
  • Create all vinyl names for office and meeting room doors when needed.
  • Follow up and complete all Facility Service requests.
  • Update FM System as new Associates are on board and floor plans when needed as reconfigurations take place.
  • Perform pre- and post-move inventory, furniture inventory, hang move signage, and supervise movers, furniture reconfiguration and space enhancements.
Qualifications:
