Job location : Remote (Ontario)

Hours : 40 hours per week, Monday to Friday

Employment type : Full-time Permanent

Commitments may extend beyond regular office hours, and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support in person at our office locations, including Toronto, or beyond regular office hours across multiple time zones internationally.

Job Summary

Aurora is recruiting an Executive Assistant to support our EVP, Human Resources, SVP Government Relations, and VP, Human Resources. Based in Toronto, the ideal candidate will have significant experience working as an Executive Assistant at senior levels in a fast-paced and dynamic industry. They must be comfortable working across multiple time zones including Europe and Australia. As the Executive Assistant, you will be involved in …

  • Supporting EVP & VP of Human Resources and the SVP, Government Relations
  • Ensuring the smooth flow of information and activities in a multifaceted operation with ever-changing priorities
  • Handling sensitive information appropriately and using good judgment in problem solving
  • Handling and preparing all aspects of confidential and sensitive documents, ensuring critical timelines are met
  • Preparing and submitting expense reports
  • Providing excellent calendar management to promote maximum productivity; prioritizing inquiries and requests and troubleshooting conflicts
  • Coordinating all travel arrangements (accommodation, flights, vehicles, etc.)
  • Providing ad-hoc support to the HR & Government Relations Teams
  • Developing and cultivating collaborative relationships with peers, employees, and other leaders
  • Composing, reviewing, and following through on internal and external communication with a focus on accuracy and attention to detail
  • Assisting with internal communication efforts: organizing and coordinating special events and projects
  • Supporting in setting up team engagement activities including holiday events and virtual get-togethers
  • Supporting the Government Relations team with registering lobbyist activities and maintaining compliance with legal reporting requirements related to lobbying activities
  • Partnering with the EA community at Aurora on various events, projects, and initiatives
  • Supporting related projects and conducting research as required

You would be the best fit if you have…

  • A minimum of 5 years of experience
  • College diploma in Business, Office Administration, or related relevant education (asset)
  • Expertise working with Microsoft Office
  • Experience and/or willingness to learn about registering lobbyist activities and maintaining compliance with legal reporting requirements. Knowledge of the Lobbying Act of Canada and provincial equivalents is a strong asset.
  • Team-oriented mindset and willingness to work closely with the EA community and various leaders
  • Ability to act with minimal supervision, discretion, maturity, and confidentiality
  • Ability to work under tight timelines and manage multiple projects
  • Thorough knowledge of corporate communications, spelling, and grammar
  • Event planning experience, including travel management and vendor contracting
