Job summary

Canada Life in Toronto is seeking an Executive Assistant to support senior leaders in our Canada Operations and Business Enablement team. This role is hybrid, requiring a minimum of three days per week in the Toronto office.

You will manage calendars, travel, and confidentiality. The successful candidate will have strong organization, discretion, and MS Office skills; experience supporting executives across locations; and the ability to navigate a complex matrixed environment.

Qualifications

  • Experience supporting an executive team across locations and with board/regulators.
  • Ability to learn and operate within a complex matrixed organization.
  • Exceptional Microsoft Office skills and calendar management.
  • Customer service mindset and relationship-building with business partners.
  • Strong organizational capabilities and handling multiple priorities.
  • Post-secondary education or equivalent experience.

Responsibilities

  • Organize schedules and reprioritize when priorities shift.
  • Coordinate travel, expenses, calendars, and files with minimal supervision.
  • Prepare reports, correspondences, and presentation materials.
  • Prepare webinars and events as required.
  • Preserve confidentiality and exercise sound judgment on sensitive matters.
  • Plan team events and department activities and recognize achievements.
  • Collaborate with internal teams and provide timely updates.

Job description

We are looking for an Executive Assistant in our Canada Operations and Business Enablement team. This is a hybrid role that will require a minimum of 3 days per week in our Toronto office.

The role primarily supports the senior leaders within the division.

To be successful in this role, you must be detail oriented, adaptable and work well with complexity & ambiguity. In addition, you will need to build strong relationships, work independently in a fast-paced environment, and exercise discretion while managing confidential information.

What you will do
  • Organize schedules including the evaluation & reprioritization of schedules when unexpected priorities arise.
  • Independently follow-up on action items, coordinate travel arrangements and expense reports, maintain calendars, and maintain files.
  • Prepare reports, correspondences, and other presentation materials.
  • Prepare webinars and other events as required.
  • Preserve confidentiality and demonstrate sound judgment regarding sensitive matters.
  • Support the planning and organization of team events, including celebrations, activities around holiday season, and recognizing team achievements.
  • Plan, organize and manage department activities such as department meetings, townhalls, annual planning and other events.
  • Collaborate with internal teams to deliver tasks and providing timely updates and response to all requests.
What you will bring
  • Experience in supporting an executive team, across geographic locations, who work closely with executive internal and external stakeholders as well as board and regulators.
  • Experience working in a complex matrixed organizational structure and an ability to quickly learn these structures.
  • Exceptional Microsoft Office Skills (Excel, Word, Outlook, PowerPoint, and Teams)
  • Demonstrated customer service mindset.
  • Ability to build and manage trusting relationships with business partners.
  • Demonstrated strong organizational capabilities with the ability to handle multiple priorities.
  • Post-secondary education, or a combination of education and work experience

The base salary for this position is between $59,800 - $99,700 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
