Job summary

Peoples Group, based in Toronto, seeks an experienced Executive Assistant to provide high-level transactional and operational support to multiple C‑Suite executives. You will manage calendars, coordinate meetings and events, and oversee travel planning for leadership needs.

The role requires strong organization, confidentiality, and superb communication skills, with experience supporting upper management and proficiency in MS Office and video conferencing tools.

Qualifications

  • 3+ years in an administrative to/executive assistant role reporting to upper management.
  • Bachelor’s degree is an asset.
  • Outstanding organization and time management skills.
  • Strong interpersonal skills and ability to build relationships with stakeholders.
  • Proficiency in MS Office Suite.
  • Proficiency with video conferencing tools.
  • Excellent verbal and written communication skills.
  • Maintain professionalism and confidentiality.
  • Think critically and anticipate needs.

Responsibilities

  • Provide transactional and operational support to multiple C‑Suite executives.
  • Act as main contact between executives and internal/external stakeholders.
  • Proactively manage calendars and set up meetings.
  • Coordinate meetings and events for the executive leadership team.
  • Arrange travel, prepare itineraries, and plan logistics.

Job description

We are hiring for this position out of our Toronto office. Successful candidates who apply outside of this area will be expected to relocate and reside in a location that is within a commutable distance.

About The Role

This role provides high-level transactional and operational administrative support to multiple C‑Suite executives, serving as the primary liaison between the executives and both internal and external stakeholders. Responsibilities include proactive calendar management, meeting coordination, and organizing leadership team events. The position also oversees complex travel planning and logistics, develops sustainable systems and processes to enhance executive efficiency, and consistently anticipates needs to ensure seamless day‑to‑day operations.

About The Day-to-day
  • Provide transactional and operational administrative support to multiple C‑Suite executives.
  • Act as the main point of contact between the Executives and internal and external stakeholders
  • Proactively manage calendars and set up meetings.
  • Coordinate meetings and events involving the executive leadership team.
  • Make travel arrangements, prepare itineraries, and plan logistics.
  • Create sustainable systems and processes for the Executive leadership team.
  • Proactively think ahead to anticipate needs.
About The Qualifications
  • At least 3 years of experience in an administrative to/ or executive assistant role directly reporting to upper management.
  • A Bachelor’s degree is considered an asset
  • Outstanding organization and time management skills
  • Strong interpersonal skills and the ability to build relationships with key stakeholders.
  • System proficiency in Microsoft products including MS Office Suite.
  • Proficiency in using video conferencing tools and software.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Ability to think critically and anticipate needs.

About The Work Environment

Peoples Group offers a flexible and hybrid work environment. In this role you will work a combination of in-office and remotely from home. Typically, you'll be working regular business hours, Monday to Friday between 8:00am and 4:30pm with flexibility around start/end times

Hiring Process

Compensation

The expected salary for this role is approximately $75,000-$90,000 per year, depending on the knowledge, skills, abilities and experience that the chosen candidate possesses.
