17.5 hours per week

Summary

Reporting to the Associate Vice-Rector, Talent, Diversity and Culture, the incumbent assists with human resources activities and provides administrative support.

Key Responsibilities
  1. Assist in staffing processes for assigned positions, including scheduling interviews, hiring, contracts, follow-up, and filing.
  2. Process hiring and rehiring in Workforce Now HRIS system and provide system access to employees.
  3. Ensure accurate updating of HR data in Workforce Now.
  4. Support payroll by entering data and conducting searches as needed.
  5. Prepare and update reports using HRIS, Excel, and online tools.
  6. Draft communications and other HR-related documents.
  7. Perform administrative tasks such as filing and drafting reports.
  8. Respond promptly to questions and requests from employees, faculty, and the public.
  9. Assist with various HR files and projects, including follow-up.
  10. Monitor files, reports, spreadsheets, and contracts regularly.
Education, Experience, and Knowledge
  • Post-secondary education in human resources, administration, or related field, plus at least 1 year of HR experience or equivalent combination.
  • Bilingualism (English and French) required.
  • Experience in customer service.
  • Experience with ADP or similar HR systems is an asset.
  • Experience in payroll processing.
  • Proficiency in Microsoft Office, Excel, email, Internet, and Adobe Acrobat.
  • Strong communication and interpersonal skills.
  • Availability and flexibility for emergencies.
  • Ability to prioritize and manage time effectively.
  • Teamwork skills.
  • Initiative, autonomy, and organizational skills.
  • Good judgment, tact, and discretion.
  • Attention to detail and professionalism, including confidentiality.
