Overall Responsibilities

As a Budget Project Manager, you are a creative and strategic thinker who loves learning everything there is to know about a client’s brand, business, and customer. You have experience working with multidisciplinary teams, overseeing and coordinating all aspects of client budget management. This position acts as the relationship and account manager for all financially related client matters.

Specific Responsibilities:

Management & Communications

  • Manage all client financials through supervision of budgeting, billing, financial reporting, and vendor management processes, ensuring accuracy across all disciplines.
  • Handle billing, accruals, and budget tracking cross-functionally.
  • Prepare unbilled media reports and provide commentary to the Finance team for reporting.
  • Ensure timely resolution of unbilled/uncleared media to mitigate financial risk.
  • Serve as a liaison between the client’s budget management group and the client team(s) to coordinate projects.
  • Act as the primary liaison between the agency and client for budget management.
  • Develop outputs for reporting deliverables and troubleshoot to meet client expectations, maintaining strong client relationships.
  • Participate in internal and external client-related or departmental meetings concerning financial matters.
  • Utilize project management tools like Hive Finance Workflow to enable efficient practices.
  • Perform all Budget Project Coordinator functions and assist as necessary.
  • Manage client workload for the BPC and contribute to training and development, including annual performance reviews.

Reporting & Compliance

  • Be the contact for all client budget management deliverables and troubleshooting.
  • Review client financial reporting for the agency (AR/AP).
  • Monitor planned vs. ordered monthly budgets; identify and explain variances.
  • Maintain a central filing system for client files.
  • Implement operations policies and best practices.
  • Ensure billing practices conform to client requirements.
  • Ensure compliance with contractual obligations in service delivery.
  • Assist with client account mapping and maintenance.
  • Maintain client-specific documentation to troubleshoot inquiries.
  • Handle audit deliverables such as SOX, KPMG, client audits, and audit compliance.
  • Update client budgets in TM1 and prepare budget accruals at year-end.
