Summary

The Manager, Event Staff Services & Scheduling is responsible for leading centralized staff services for event staff at Rogers Arena, including scheduling, systems administration, reporting, and wardrobe management. This role oversees the daily scheduling for all departments with unionized and non-unionized staff and manages other staff services. The manager ensures events are fully staffed, employees are licensed, uniformed, and event-ready.

Duties And Responsibilities
  • Lead the Staff Services unit, continuously improving service to event staff.
  • Manage centralized scheduling for over 3000 part-time staff.
  • Supervise 3 full-time and 1-2 part-time staff, providing coaching and development.
  • Oversee wardrobe functions, ensuring proper procurement, tracking, and distribution of uniforms, and optimize costs.
  • Monitor inventory and budget, ensuring stock levels and timely orders.
  • Prepare reports on deployment, labor costs, and inventory, recommending efficiencies.
  • Serve as systems administrator for ABI Mastermind scheduling system, resolving technical issues promptly.
  • Enhance communication with staff via self-service tools to prepare for events.
  • Manage staff licensing and permits, coordinating renewals with managers.
  • Oversee medical accommodations for hourly staff.
  • Run statutory holiday utilities in ABI Mastermind bi-weekly.
  • Manage the monthly Seniority List process.
  • Follow collective agreement and scheduling guidelines.
  • Address scheduling issues or grievances promptly, working with relevant departments.
  • Maintain communication across departments, promoting buy-in to scheduling rules.
  • Support other People Department members as needed.
  • Approve timesheets and handle related administrative tasks.
Required Experience And Qualifications
  • 3-5 years in a similar role with a related management diploma or degree.
  • Experience supervising staff with strong leadership skills.
  • Commitment to high-quality employee service and issue resolution.
  • Ability to motivate and engage employees positively.
  • Experience in fast-paced, time-sensitive environments with effective communication skills.
  • Knowledge of unionized environments and collective agreements.
  • Experience with labor/cost analysis and reporting.
  • Understanding of event-based scheduling and payroll practices.
  • Extensive experience with scheduling databases; experience with ABI Mastermind is a plus.
  • Proficiency in MS Office applications.
  • Ability to perform under pressure, manage multiple priorities, and work in a team environment.
  • Strong attention to detail and accuracy.
  • Initiative, creativity, and ability to work independently.
  • Excellent interpersonal, verbal, and written communication skills.
  • Diplomacy, tact, and confidentiality.
  • Availability to work evenings and weekends as needed for events.
