The Event Manager oversees events from initial client contact to onsite execution, ensuring adherence to Naut’sa mawt standards of customer service.
Reporting to the Senior Event Manager, this role involves managing virtual, in-person, and hybrid Indigenous-focused engagement and celebration events for government, non-profit, or corporate clients. The role requires collaboration with internal teams, contractors, speakers, and stakeholders to ensure clear communication, planning, and documentation.
RESPONSIBILITIES
Event Management duties include but are not limited to:
- Acting as the main contact for assigned events, ensuring all deliverables and deadlines are met.
- Maintaining service quality standards and company values across responsibilities.
- Delegating tasks to team members and providing guidance to meet deadlines and uphold customer service standards.
- Managing logistics such as registration, communication, speaker coordination, technical support, decor, and graphic design.
- Obtaining quotes and hiring subcontractors like hotels, caterers, performers, elders, and technicians, defining their roles and responsibilities.
- Providing cultural guidance to ensure inclusivity and respect for Indigenous cultures during events.
- Coordinating with the Facilitation and Reporting division for booking facilitators and report writers, guiding on formats and expectations.
- Managing budgets and maintaining accurate expense and invoice records.
- Seeking opportunities for process improvement and innovation.
- Maintaining confidentiality and exercising sound judgment on sensitive issues.
Onsite responsibilities include:
- Supervising staff and subcontractors.
- Overseeing event programming to ensure smooth delivery.
- Arranging rehearsals and managing A/V and virtual components.
- Organizing registration and gift-giving processes.
- Greeting speakers and elders, managing honoraria, and communicating the event agenda.
- Adapting to changing priorities and addressing issues proactively.
Contributing to sales and marketing efforts by:
- Responding to inquiries via phone, email, or in person.
- Handling Requests for Proposals (RFPs) for event services.
- Supporting promotional activities, including drafting communications and creating templates.
Performing administrative duties in line with company policies, including:
- Maintaining filing systems and CRM records.
- Managing correspondence and document distribution.
- Participating in meetings, training, and strategic planning.
- Continuing Indigenous cultural training to enhance event representation.
- Identifying and implementing improvements.
- Performing other duties as assigned.
EDUCATION AND EXPERIENCE
- Bachelor’s degree or diploma in event management or related field.
- 3-5 years of event organizing experience.
- Proficiency in Adobe Acrobat and Microsoft Office Suite.
- Experience with virtual platforms like Zoom, Cvent, Microsoft Teams is an asset.
- Experience working with Indigenous communities is an asset.

OTHER REQUIREMENTS
- Willingness to travel within the Lower Mainland BC or Vancouver Island for events.
- Availability for occasional nights, weekends, or holidays.
- Compliance with Naut’sa mawt policies and procedures.
- This is a remote position; in-person attendance at events within the specified area is required.
