Job summary

Deep-Water Intake Group, a VINCI joint venture in Canada, is hiring a Document Controller for the Pickering Nuclear Generating Station refurbishment program. The role ensures EDMS document control, security, accessibility and distribution for construction personnel.

You will implement EDMS workflows, manage submittals, RFIs, drawings, and ensure data accuracy and compliance. This role requires collaboration with design teams and clients.

Qualifications

  • 5-7 years of experience in document control.
  • Bachelor’s degree in engineering, architecture, administration, or related field.
  • Experience with EDMS ACONEX.
  • Construction industry experience on large infrastructure projects.
  • Strong knowledge of document control processes and lifecycle.
  • Autonomous, organized, and detail-oriented.
  • Ability to engage stakeholders at all levels.
  • Excellent intercultural communication skills.

Responsibilities

  • Implement, manage and ensure control of documents in the EDMS.
  • Parameterize workflows, codification and interfaces with Designer and Client.
  • Update and improve engineering document control procedures for compliance.
  • Manage documents lifecycle: Submittals, RFIs, FDCs, Drawings, NCRs.
  • Ensure security, accessibility and distribution of documents for JV personnel.
  • Distribute electronic documents, submittals, transmittals and correspondence.
  • Maintain control of records to release reports and drawings to production.
  • Review documents for completeness and data accuracy.
  • Post changes to drawings and construction documents to keep them up-to-date.

Document Controller

What is the project?

The Pickering Nuclear Generating Station refurbishment program involves designing and building a new deep-water intake in Lake Ontario to improve the plant's cooling system. This will involve:

  • A5 km-long tunnel, built by a pressurized TBM (10.5 m diameter slurry TBM);
  • Two vertical shafts (onshore and offshore);
  • An offshore modular intake structure, resting on the lake bed.

The project is distinguished by its proximity to an active nuclear site, requiring rigorous standards of safety, planning and coordination.

What you will do:

The Document Controller implements, manages and ensures the control of documents in the EDMS ensuring their security, accessibility, and distribution. They will ensure the data is accurate and complete for use by construction personnel throughout the project.

Concretely your tasks will be:
  • Managethe document management process in EDMS parameterization (workflow, codification, architecture, interfaces with Designer, Client...).
  • Implement, update and improve Engineering document control procedures to meet internal and external compliance requirements.
  • Efficiently manage organizational documentation throughout the documents’ life cycle (Submittals, RFIs, FDCs, Drawings, NCRs…).
  • Ensure security, accessibility, and distribution of documents for all joint-venture personnel, working within Document Control team, and closely with the Quality Department, Design Managers, and external partners
  • Ensure that internal document controls procedures areestablishedand followed.
  • Distribute electronic documents, submittals, transmittals, and correspondence to defined recipients.
  • Compile andmaintaincontrol of records and related files to release reports, drawings, and engineering documents to production and other operating departments.
  • Examine documents, such as drawings, procedures, management plans, reports, change orders, and specifications for general completeness and accuracy of data.
  • Post changes to documents, especially construction drawings and related construction documents tomaintainthe most up-do-date construction documents for use by construction personnel (internal field personnel, client, and lower-tier contractors).
  • Assistsand works in conjunction with the Document Control Team for the efficient operation and maintenance of the document management system.
Your skills:
  • 5-7 years of experience in document control
  • Proven experience designing, implementing and managing inclusive DEI programs
  • Bachelor’s degree in engineering, architecture, administration, or related fields
  • Experience with EDMS ACONEX
  • Construction industry (large infrastructure projects) experience
  • Strong knowledge of Document Control processes (version control and document lifecycle)
  • Autonomous,organized and attention to detail (record-keeping and filing discipline)
  • Heightened ability to work under deadlines
  • Capable to engage stakeholders at all levels
  • Excellent intercultural communication skills
