Job description

Position Overview

The Digital Training Specialist - EHR Training is responsible for designing, developing, and delivering digital learning curriculum to support the effective use of the Electronic Health Record (EHR) system.

This role creates engaging, interactive eLearning content tailored to various clinical and non-clinical user groups, enabling self-paced learning, Promoting adoption of digital tools, and supporting end-users during go live. The Specialist collaborates with stakeholders across informatics, clinical education, and IT to promote system adoption and optimize workflows through innovative, user-centered digital education.

The Digital Training Specialist also provides first level IT support and contributes to special projects, supporting the Information Management and Technology (IMT) Strategic Plan.

Primary Responsibilities

Digital Learning Design & Content Development

  • Design, develop, and maintain digital learning content for EHR system (Oracle Cerner) using tools such as Adobe Captivate, Articulate 360, or similar platforms.
  • Create engaging, interactive, and learner-centered materials including eLearning modules, simulations, videos, quick reference materials, microlearning content, and self-paced courses.
  • Ensure content is accessible across various devices and platforms, following digital learning best practices and adult education principles.
  • Collaborate with Clinical Informatics team, IT, and operational teams to ensure training content reflects current workflows, EHR system changes, and organizational policies.
  • Training Delivery & Facilitation
  • Deliver EHR training through multiple modalities including instructor-led (in-person and virtual), online, and self-directed sessions, adapting delivery to suit diverse clinical and non-clinical roles (e.g., physicians, nurses, allied health, Registration clerks).
  • Facilitate both instructor-led and self-directed training formats for onboarding, refresher training, go-lives, and system enhancements.
  • Provide just-in-time and floor support during major system rollouts, upgrades, and workflow changes to ensure successful adoption.
  • Learning Evaluation & Progress Reporting
  • Develop tools to evaluate training effectiveness (e.g., pre/post assessments, surveys, knowledge checks).
  • Track learner progress through the Learning Management System (LMS) and generate regular training dashboards and reports for department managers and project stakeholders.
  • Analyze feedback and learner performance data to continuously refine training content, delivery methods, and learner engagement strategies.
  • Digital Training Program Sustainability
  • Establish and maintain a sustainable digital education program to support ongoing learning for new hires, role transitions, and system updates.
  • Lead the process of “evergreening” training content by regularly reviewing and updating materials to align with current system configurations and clinical workflows.
  • Maintain version control and documentation of training assets to ensure consistency and accuracy across the organization.
  • Partner with Clinical Informatics team to anticipate training needs related to planned upgrades, policy changes and optimization projects.
  • Training Logistics & Support
  • Coordinate logistics for digital and in-person training, including scheduling, technology setup, environment readiness, and communication with learners and leadership.
  • Support end-user access to digital learning platforms and troubleshoot common issues related to login, navigation, and content access.
  • Maintain accurate records of training activities, attendance, materials, and evaluation metrics.
  • Assist Clinical Informatics team with testing, system v and project readiness activities as part of new EHR implementations or system upgrades.
  • Collaboration & Innovation
  • Work closely with interdisciplinary teams including Clinical Informatics, Health Records, Project Managers, and Clinical Leaders to assess learning needs and align training efforts with organizational goals.
  • Stay current with emerging digital education trends and recommend new tools and methodologies to enhance the learner experience.
  • Contribute to change management and user adoption strategies by promoting a culture of digital literacy and continuous learning.

Other Duties

  • Assist with integration testing during system upgrades
  • Provides suggestions for product enhancement to the Clinical Informatics team.
  • Maintain confidentiality with respect to the work being performed
  • Membership on committees or councils as required.

Education

  • College Diploma in Health Informatics, Education, Instructional Design, Information Technology or equivalent
  • Certificate or diploma in eLearning Development or instructional design is an asset.
  • Adult education certificate or courses preferred.

Experience

  • 3 years of related technical experience with a customer service focus (healthcare environment an asset).
  • 2 years of experience in designing and delivering digital learning or eLearning content, and facilitating training sessions
  • Experience with learning management systems (e.g.: D2L Moodle, Cornerstone)
  • Experience with Oracle Cerner is a strong asset
  • Experience in Project and Change Management is an asset.
  • Knowledge of adult learning principles
  • Demonstrated experience creating training manuals, participant materials, case studies and other course materials, using Adobe Captivate, Articulate, Camtasia or similar
  • Demonstrated commitment to on-going learning (i.e. workshops, seminars)
  • Proficient in the use of Microsoft Office tools
  • Demonstrated organizational and time management skills
  • Self-directed; demonstrated ability to work collaboratively with others
  • Excellent interpersonal and communication skills, both verbal and written
  • Able to work effectively in a fast paced and diverse organization
  • Demonstrated ability to manage confidential data
