Job summary

Kids Help Phone Foundation in Toronto invites applications for a Development Officer, Donor Experience. This hybrid role supports stewardship, donor reporting, and communications to strengthen donor relationships across Canada.

You will manage reports, coordinate timelines with internal teams and vendors, and help deliver engaging donor materials while ensuring confidentiality and accuracy of donor records.

Qualifications

  • Bachelor’s degree or equivalent experience in fundraising, donor relations, communications, or related field.
  • 3–5 years relevant experience in advancement, donor experience or related functions.
  • Demonstrated track record in stewardship, direct marketing, stakeholder communications and managing projects.
  • Excellent written communication with strong attention to detail and timelines.
  • Ability to collaborate cross-functionally with donors, suppliers, staff and volunteers in a charitable environment.
  • Experience with Raiser's Edge CRM and Microsoft Office Suite.
  • Bilingual French/English is a plus.

Responsibilities

  • Support the stewardship program to retain and grow the donor community across giving levels.
  • Project manage donor impact reports, coordinating timelines, inputs, reviews and delivery.
  • Develop and maintain an impact report calendar and track reports in Raiser's Edge.
  • Coordinate donor communications, events and projects with internal partners.
  • Maintain donor records and contribute to donor-facing materials with accuracy and confidentiality.
  • Support budget management for the Donor Experience team and related tasks.
  • Contribute to an inclusive, diverse workplace and equitable donor engagement.
  • Occasional evening/weekend on-site work at the office or event locations.

Kids Help Phone Foundation is seeking a Development Officer, Donor Experience to help inspire generosity and raise funds across Canada to deliver on KHP’s promise to youth.

The Development Officer, Donor Experience plays a key role at KHP Foundation and works closely with teams across Kids Help Phone. This role supports the execution and ongoing refinement of an exceptional stewardship program, with a primary focus on project managing donor reporting and coordinating donor communications and engagement activities. The Development Officer will be responsible for developing and delivering timely, accurate, and meaningful donor-facing materials that strengthen donor relationships, support retention, and create a positive experience for the donor community at Kids Help Phone. This role will work with a variety of internal and external stakeholders to achieve success. It’ll take courage, collaboration, innovation, resilience and trust.

The responsibilities:

  • Support the implementation of a best-in-class stewardship program that creates and strengthens lifelong relationships with supporters across all giving levels, with the goal of retaining and growing our donor community.
  • Project manage donor impact reports by coordinating timelines, internal stakeholders, external vendors, content inputs, review cycles, and delivery for reports including Custom donor impact reports, Annual Impact Report, and Fall Repot
  • Develop and maintain an impact report calendar, based on mandatory donor deliverables, ensuring reports are produced as scheduled, delivered to the fundraising team and tracked in Raiser’s Edge.
  • Develop and share strong knowledge of KHP service programs and style guidelines as they relate to donor communication and impact and share information across KHP Foundation.
  • Coordinate and support stewardship activities and initiatives such as videos, donor celebration events, naming opportunities and other donor-facing projects and tasks in collaboration with internal partners as required.
  • Coordinate the execution and rollout of donor engagements for key annual touchpoints such as National Volunteer Week, Back to School season and National Philanthropy Day.
  • Coordinate donor gifting to mark important stewardship touchpoints, in consultation with KRMs.
  • Support the development of thank you and acknowledgment letter templates and processes, including ongoing updates.
  • Support the updating of the supporter list on the KHP Foundation website and digital screens at the Toronto and Montreal offices on an annual basis.
  • Stay up to date on donor experience best practices and innovations by researching and sharing relevant sector examples with the Donor Experience and Foundation teams.
  • Support the management of the budget for the Donor Experience team, including tracking expenses, coding and processing invoices as required.
  • Champion and contribute to an inclusive, respectful, and equitable work environment by actively engaging in practices that support diversity, accessibility, and belonging across all donor and team interactions.
  • Maintain confidentiality and a high degree of accuracy with donor records.
  • Support the maintenance of accurate donor records and generate reports using Raiser’s Edge.
  • Assist with additional administrative tasks that support donor reporting, stewardship coordination, budgeting and donor experience operations, as needed.
  • Some evening and weekend work is required on site at the Kids Help Phone office and/or unique event locations.

Required Skills & Experience:

  • Bachelor’s Degree or an acceptable combination of equivalent experience, preferably with a focus on fundraising, donor relations, communications, or a related field.
  • A minimum of 3-5 years relevant experience in advancement, donor experience or related functions.
  • Demonstrated track record in stewardship, direct marketing, stakeholder communications and managing project-based activities.
  • Excellent written communication skills, meticulous attention to detail to proofread, edit documents and manage timelines.
  • Demonstrated ability to work effectively with tact and diplomacy cross-functionally with donors, suppliers, staff, volunteers and other relevant stakeholders in a complex charitable environment.
  • Effective interpersonal skills with a professional presence and manner.
  • Superior organizational and project management skills while managing multiple projects in a fast-paced environment.
  • Experience using a CRM, preferably Raisers Edge.
  • Proficiency in Microsoft Office Suite.
  • Ability to take initiative and work independently, demonstrate independent judgment and flexibility, while being accountable to goals.
  • A creative, strategic and collaborative approach to donor relations.
  • Demonstrated understanding of community investment and impact reporting.

Preferred/Advantageous:

  • PMP certification, formal project management education/training or familiarity with project management tools and techniques.
  • Familiarity with mass email or donor engagement platforms such as MailChimp, ThankView or Storyraise
  • Experience within a national non-profit environment and in collaborating across regional teams within a multi-stakeholder environment.
  • Experience with Microsoft SharePoint and Adobe Creative Suite or comparable tools used for collaboration, content management, and donor-facing materials.
  • Knowledge of CRA rules and regulations regarding donations and receipting including cash, gifts-in-kind, securities and bequests.
  • Experience working with program metrics and evaluating programs.
  • Bilingual French/English skills.
