Job summary

Kids Help Phone Foundation in Canada seeks an Executive Director, Finance and Donor Services to lead financial administration for donor gifts and fund disbursements. You will report to the Executive Director of Finance & Donor Services and ensure compliance with funding agreements and timely reporting.

The role requires collaboration with internal stakeholders and partners to manage budgets, reports, audits and funding priorities, delivering robust financial controls and transparency.

Qualifications

  • Bachelor’s degree in accounting, finance, business administration or related field.
  • CPA designation (or progress toward CPA) is an asset.
  • 3–5 years of experience in grants management, fund accounting, or financial administration in charitable, not-for-profit, healthcare or public sector.
  • Strong budgeting, financial analysis and fund accounting knowledge.
  • Advanced Microsoft Excel skills.
  • Experience with fundraising/financial systems (Blackbaud, Financial Edge, Raiser's Edge) is an asset.
  • Experience with grant management software is an asset.
  • Excellent organizational, analytical and project management skills.
  • Exceptional written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.

Responsibilities

  • Oversee full gift lifecycle from proposal to close-out and stewardship reporting.
  • Monitor fund disbursements to ensure adherence to budgets and KPIs.
  • Coordinate with Foundation Donor Experience for donor stewardship reporting.
  • Support reporting calendars and deadlines for grants and gifts.
  • Facilitate cross‑functional kickoff meetings with internal and external partners.
  • Develop and monitor gift/grant budgets with program leaders and accounting.
  • Prepare financial reports for gifts, funds and disbursements for internal and donor use.

The opportunity

The Manager, Gift Funds Administration plays a key role in managing and reporting on the funds and fund disbursements that supports the mission of Kids Help Phone. Reporting to the Executive Director of Finance & Donor services, this position is responsible for overseeing the financial administration of gifts from donors; while collaborating with internal stakeholders to ensure compliance with funding agreements and timely reporting, as well as managing disbursements between Kids Help Phone Foundation and Kids Help Phone.It’ll take courage, collaboration, innovation, resilience and trust.

The responsibilities
Gift and Fund Administration & Compliance
  • Manage and support the full gift lifecycle from proposal through financial close-out and stewardship reporting
  • Monitor fund disbursement expenditures and funding utilization to ensure compliance with approved program budgets and monitoring associated deliverables/KPIs
  • Collaborate with Kids Help Phone Foundation Donor Experience team and Kids Help Phone program leads on all reporting requirements for donor stewardship reports, leading all financial components
  • Support the Director, Donor Experience with gift deliverables calendar to monitor reporting requirements and deadlines
  • Coordinate and facilitatecross-functional kickoffmeetings following thereceipt of grantsor major gifts, ensuring alignment amongall internal andexternal stakeholders manage all partners for applicable grants
  • Coordinate the development and monitoring of gift/grant budgets in collaboration with program leaders and KHP accounting team
  • Prepare financial reports for gifts, funds and fund disbursements for internal and donor facing
  • Support monthly, quarterly, and annual financial reporting related to funds and fund disbursements
  • Assist with annual audits by preparing fund disbursement schedules and supporting documentation.
  • Assist with developing, monitoring, forecasting and reporting against funding priorities in collaboration with VP, Community Giving & Operations
  • Reconciliation and reporting on fund balances to funding priorities
  • Manage fund disbursements to Kids Help Phone
Proposal Support
  • Support the Philanthropy team in the development of budgets for new proposals and collaborating with Kids Help Phone program teams
  • Review proposal budgets to ensure accuracy, sustainability, and alignment with funding priorities
Reporting & Analysis
  • Track funding trends in relation to funding priorities
  • Develop dashboards and reporting tools to improve fund management processes.
  • Identify potential financial risks and recommend corrective actions where necessary.
Cross-Functional Collaboration
  • Work closely with Senior Leadership Team, Kids Help Phone Finance and Program teams and Kids Help Phone Foundation fundraising teams to support accurate gift, fund and fund disbursement reporting and compliance. Provide guidance to Operational Leadership Team and Kids Help Phone Finance team on gift and fund disbursement compliance and financial reporting requirements
  • Recommend and implement best practices for gift, fund, and fund disbursement management processes.
  • Improve internal controls, reporting procedures, and documentation standards.
  • Stay current on accounting standards, charitable sector regulations, and funder requirements.
