Job summary

Kunuwanimano Child and Family Services seeks an organized Office Administrator to support the service team. You will screen communications, prepare diverse documents, and coordinate meetings, travel, and conference logistics.

The role requires 1–3 years of related experience and a clear Criminal Record Check with Vulnerable Sector Screening. You'll work both independently and as part of a team, with travel as needed, and may cover the Receptionist duties when required.

Qualifications

  • Post-secondary diploma/certificate in office administration or equivalent.
  • 1–3 years related experience in office administration.
  • Clear Criminal Record Check with Vulnerable Sector Screening required.
  • Valid G Ontario Driver's licence and ability to travel.

Responsibilities

  • Receives, reviews and screens mail, email, voicemail, telephone calls and faxes for the service team.
  • Prepares and maintains documentation and ensures grammar accuracy.
  • Arranges meetings, prepares agendas and takes minutes; coordinates bookings and room setup.
  • Plan and organize conferences and coordinate travel, hotels, and registrations.
  • Provide coverage for Receptionist as required.
  • Work independently and as part of a team; adapt to supervisor duties.

Salary Range: $47,304.00 To $56,022.00 Annually

Location: Timmins, ON

Job type: Contract – 35 hours per week - Up to 7 months

Whatyou willdointherole
  • Receives, reviews and screens mail, email, voicemail, telephone calls and faxes on behalf of the service team and where appropriate exercises independent judgment.
  • Prepares and maintains a variety of documentation on behalf of the service team including e-mails, memos, letters, reports, and related documents and ensures the accuracy of grammar and spelling.
  • Arranges meetings and appointments; prepares agendas and takes and distributes minutes; coordinates all rooms and facilitates bookings as required; arranges room set-up; orders audio-visual materials and refreshments where necessary.
  • Plan/organize various types of conferences.
  • Coordinate travel arrangements, hotel accommodations, car rentals, bus travels, trainings/workshops, conference registrations for team members and clients as required.
  • Provides coverage for the Receptionist as required.
  • Ability to work independently and as a team member and willing to assume duties as may be required or directed by the Supervisor.

Whatyou brengtothetable
  • Post-secondary diploma/certificate in office administration or equivalent; combination of education and experience may be considered.
  • 1-3 years related experience in office administration with progressively responsible administrative responsibilities.
  • Must produce clear Criminal Record Check with Vulnerable Sector Screening
  • The ability to speak a First Nation language is considered a major asset.
  • Demonstrate excellent planning, organizational, and administrative skills.
  • Demonstrate excellent interpersonal skills to liaise with a variety of internal and external contacts, oral and written communication skills.
  • Must possess a valid “G” Ontario Driver’s licence, be willing to travel, able to work flexible hours, able to work independently and provide on-call services when required.
