Job summary

Seneca Student Federation is seeking a Club Coordinator Staff to support the Manager of Clubs in executing ideas and administering club operations on campus. You will train executives, respond to student inquiries, and help plan events to boost engagement across clubs and SSF.

Ideal candidates demonstrate strong organizational and interpersonal skills, multitask effectively, and manage records with accuracy while communicating regularly with club leadership.

Qualifications

  • Must be enrolled in a full-time Seneca Polytechnic program for Fall 2026.
  • Must reside in Ontario and be legally eligible to work in Canada with SIN upon hire.
  • Must have a bank account in Canada.

Responsibilities

  • Support the Manager in implementing ideas and activities.
  • Assist in approving and sanctioning clubs.
  • Conduct training sessions for club executives and keep trainings up to date.
  • Respond to inquiries and inform students about SSF and clubs.
  • Plan club events to boost student engagement and promotions.
  • Create and monitor data files and maintain records.
  • Communicate weekly with club executives to maximize engagement.
  • Gather feedback from club members to improve services.
  • Help the Club committee achieve yearly goals.
  • Maintain routine records: budget, bookings, forms, reimbursements.

Job description

We are looking for highly organized and energetic candidates with excellent interpersonal skills for the Club Coordinator Staff position, accountable directly to the Manager of Clubs. The Club Coordinator is responsible for communicating with club members and providing direction for members who are interested in clubs. This role includes the execution and monitoring of services and other administrative duties involving prospective and current clubs.

Key Responsibilities
  • Support the Manager in implementing new ideas and activities
  • Assist the Manager in the process of approving and sanctioning clubs.
  • Conduct training sessions for executive members of clubs, as well as ensuring executive training is up to date and accurate
  • Respond to inquiries and give information to students about the Seneca Student Federation and Clubs
  • Assist in planning Club events focused on student engagement and Club promotions for both the Clubs and the SSF
  • Create and monitor data information, file, and keep records of documents
  • Communicate weekly with Club executives to maximize engagement
  • With the Club committee, gather data through feedback from Club members on improvements to the Club service
  • Assist the Club committee in achieving goals as determined yearly
  • To help maintain, on a routine basis, all records regarding the Club matters:i.e. Budget Request, Table/Room Booking, Change of Executive Form, Reimbursement Form

Qualifications
  • Must be currently enrolled in a full‑time Seneca Polytechnic program during the Fall 2026 semester
  • Must reside in Ontario
  • Applicants must be legally eligible to work in Canada.(Social Insurance Number (SIN) will be required upon hire to process payroll and employment records)
  • Must have an account with a Canadian bank
