Job description

Client Operations Analyst

The Operations Analyst will assist the Operations Manager in the overall financial management of the client. They will work directly with the Client Service Teams controlling all financial aspects for their clients and provide overall financial stewardship. The incumbent will be involved in finances by supporting the Client Service team.

This position reports directly to the Operations Manager and is responsible for the review of prepared MPAs before going to the client, collecting POs where applicable, setting up estimates in MediaOcean, inputting Print, Paid Social, and Search media into Prisma, and assisting Media Finance Coordinators with discrepancies, billing, collection, and campaign balancing for the client while working collaboratively with the media team to ensure proper processes are followed overall.

Key Accountabilities:

  1. Act as the control for all MPAs to ensure documents are recorded and maintained on a tracker, while meeting SOX and external audit requirements (stakeholder for client signed MPAs).
  2. Manage the MPA/campaign tracker and set up CPEs for the client in DDS, ensuring budgets are maintained.
  3. Set up and maintain all product codes.
  4. Meet with account leads to review BCRs, including MPAs vs billings on a monthly basis, to ensure MPAs are not exceeded.
  5. Lead the client billing process by pulling the initial and final BCR, making recommendations on billing, and meeting with CST to finalize.
  6. Send the final client-facing BCR to the client.
  7. Enter all buys and relevant information for Print, Paid Social, and Search into Prisma.
  8. Review unbilled media and WIP, providing comments at month-end, while minimizing unbilled media and ensuring WIP items are cleared.
  9. Review Aura to determine the completeness of timesheets and prepare, analyze, and review quarterly labor analysis with SVP Business Director.
  10. Conduct initial investigations related to client receivables past due 30 days and provide necessary backup to Operations Manager to facilitate conversations with the client.
  11. Train all new employees in Aura, setting up MPAs, reviewing and analyzing BCRs, and other relevant financial processes.
  12. Assist in Client Media Audits and support where required.
  13. Attend client meetings as needed and establish and foster an open relationship with Clients’ Accounts Payable team.
  14. Liaise and develop strong working relationships with the Shared Finance Services team to ensure high levels of customer service for both the agency and clients.
  15. Ensure compliance with Sarbanes-Oxley policies and procedures.

Education and Experience:

  1. College Diploma in Business, Finance, or Accounting.
  2. Minimum 1 year of working experience in an accounting role.
  3. Experience in the media and/or advertising industry is an asset.
  4. Advanced knowledge of DDS and Microsoft Excel, including pivot tables, PowerPoint, and Visio.
