Job summary

Peel Regional Police in Mississauga, Ontario is seeking a Clerical Support I to join the HR Administration Department. The role focuses on data entry, filing, and maintenance of employee personnel files, with support for HR units.

You will handle Laserfiche document scanning, HRMS data updates, and generation of HR letters and reports. Strong MS Office skills and confidentiality are essential for success in this role.

Qualifications

  • High School Diploma or equivalent plus relevant Office Administration/HR coursework.
  • Minimum of one year related experience.
  • Proficiency in MS Word, MS Excel, and MS Outlook with intermediate level.
  • Strong data-entry and keyboarding skills; ability to handle confidential information.
  • Knowledge of HRMS or similar HRIS is required; good interpersonal communication.

Responsibilities

  • Scan/import documents into employee files using Laserfiche.
  • Maintain and update HRMS employee data (addresses, payroll, appraisals).
  • Generate letters and reports from HRMS/SharePoint; adjust documents as needed.
  • Answer inquiries about HR topics and manage mail and faxes.
  • Create and distribute reports and ensure file completeness and accuracy.
  • Coordinate storage and purge of departmental files; assist other HR units.

Job description

As a Clerical Support I within our HR Administration Department, you will be responsible for performing a variety of clerical, data entry and filing duties related to the maintenance of employee personnel files and providing support to other Human Resources units.

What will your typical day look like?
  • Scans and/or imports documents to appropriate employee corporate personnel files within the Laserfiche system.
  • Maintains and updates Human Resources Management System (HRMS) employee data, such as employee recognition, discipline, address, telephone and emergency contact information.
  • Generates confirmation of employment letters and various reports from HRMS and/or SharePoint and modifies the reports using word-processing and spreadsheet computer applications software.
  • Responds to telephone and in-person inquiries from employees pertaining to general Human Resources (HR) topics such as personnel files, benefits, payroll, performance appraisals, STD/LTD and WSIB and redirects as appropriate; opens, sorts, logs and distributes all incoming mail and faxes.
  • Generates queries from HRMS and ensures distribution to the appropriate individuals/areas (e.g. member contact information, languages, performance appraisals, Senior Officer listing).
  • Responds to and coordinates requests from both internal employees and external parties for copies of corporate personnel files; ensures file is complete and up-to-date.
  • Provides clerical support to other HR units including photocopying, sorting, filing, scanning, faxing, distributing correspondence, pay cheques/slips, and/or drug benefits cards.
  • Schedules pool vehicle, hotel workstations, and HR meeting room bookings as required.
  • Coordinates the storage of the departmental administrative files, ensuring file integrity with respect to access within the enclosed file room, ensuring appropriate purging in accordance with prescribed procedures.
  • Ensures appropriate levels of office supplies are maintained and arranges for service and maintenance of office equipment.
  • Performs additional duties as assigned e.g. assists with departmental events and functions (e.g. HR staff development days, fundraising campaigns, or social events etc.).

You are someone with:
  • A High School Diploma or equivalent, plus additional Office Administration/Human Resources course(s) and/or training, or an equivalent combination of education and experience.
  • A minimum of one-year related experience required.

  • Demonstrated knowledge of Human Resources Management System (HRMS).
  • Well-developed keyboarding and data entry skills.
  • Effective oral communication and interpersonal skills.
