Position Summary
The Cash Administration Associate contributes to the timely and accurate posting of customer payments, refunds, returns, and transfer requests. The role ensures compliance with all Cash Administration and Corporate policies and procedures.
Responsibilities
- Accurate payment and return postings.
- Investigate lock box accounts, PAD returns, sort incoming mail, and lock box mail.
- Resolve issues related to missing or misapplied customer payments.
- Communicate with customers via written correspondence, email, and phone regarding payments.
- Prepare and issue refund checks and phone payment refunds for overpayments.
- Apply return payments for reasons such as NSF or account closure.
- Handle credit balance transfers and payment applications.
- Coordinate with Customer Service Representatives on Cash Administration issues.
- Liaise with financial institutions on bank requests and payment issues.
- Utilize Maestro for correspondence, refunds, credit transfers, and exceptions.
- Maintain statistical reports of daily activities.
- Ensure accurate postings to meet KPIs for external vendors and bank reconciliations.
- Participate in internal and external projects.
- Promote process improvements within the team and liaise with internal partners.
- Update policies and procedures as needed.
- Manage document filing and storage at Iron Mountain.
- Perform other related duties as assigned.
Qualifications
- 1-2 years of business or vocational training or relevant work experience.
- Basic knowledge of accounting procedures.
- Proficiency with MS Word, Excel, Outlook, Windows, PeopleSoft, WinZip, and Appian.
- Organized, detail-oriented, analytical, and problem-solving skills.
- Self-motivated with minimal supervision, able to work in a fast-paced environment.
- Strong communication skills, both verbal and written.
- Excellent customer service skills.
- Ability to multitask and manage time effectively.
- Positive work ethic and attitude.
- Knowledge of 407 ETR business operations is an asset.
