Job summary

LRO Staffing is partnering with a national not-for-profit organization to recruit a Bilingual Membership Specialist for a full-time, permanent opportunity in Ottawa. The successful candidate will serve as the primary point of contact for members, supporting membership growth, engagement, retention and renewals while maintaining accurate membership data and delivering exceptional customer service.

Location: Ottawa, hybrid work arrangement.

Qualifications

  • College Diploma or University Degree.
  • Minimum 3 years of relevant experience in a membership association or not-for-profit.
  • Bilingual English and French (written and verbal) mandatory.
  • Strong membership, customer service and relationship-building skills.
  • Experience with membership databases; iMIS a plus.
  • Advanced Excel, data entry, reporting and analytical skills.
  • Excellent written and verbal communication; ability to manage multiple priorities and meet deadlines.

Responsibilities

  • Serve as the primary contact for members, responding to inquiries and resolving issues.
  • Develop and implement initiatives to support membership growth, engagement, retention and renewal.
  • Represent the organization to prospective members and build strong member relationships.
  • Coordinate annual membership renewal and campaigns with internal/external partners.
  • Manage membership database: data entry, imports/exports, cleanup and maintenance.
  • Monitor membership data and prepare KPI reports for leadership.
  • Provide staff support to the Membership Committee and contribute to engagement strategies.
  • Collaborate with Communications on member communications and engagement initiatives.
  • Plan and coordinate member recognition activities and events.
  • Oversee publication subscriptions and related communications.
  • Participate in special projects as required.

About The Opportunity

LRO Staffing is partnering with a well-established national not-for-profit organization to recruit a Bilingual Membership Specialist for a full-time, permanent opportunity in Ottawa. This is an excellent opportunity for a customer service-focused and highly organized professional to join a respected organization and play a key role in supporting its membership community. The successful candidate will serve as the primary point of contact for members, supporting membership growth, engagement, retention and renewals while maintaining accurate membership data and delivering exceptional customer service.

  • Serve as the primary contact for members, responding to inquiries, providing information, resolving issues and following up as required
  • Develop and implement initiatives to support membership growth, engagement, retention and renewal
  • Represent and promote the organization to prospective members and build strong, long-term member relationships
  • Coordinate annual membership renewal and new membership campaigns, including liaison with external call centre partners
  • Manage the membership database, including data entry, imports, exports, data cleanup and ongoing maintenance
  • Monitor and analyze membership data and prepare reports on key performance indicators for leadership
  • Follow up with members and assess participation and engagement to better understand evolving needs
  • Provide staff support to the Membership Committee of the Board and contribute to member engagement strategies
  • Collaborate with the Communications team on member communications and engagement initiatives
  • Plan and coordinate member recognition activities and events
  • Oversee publication subscriptions, orders, reporting and related external partner communications
  • Participate in special projects and other initiatives as required
About You
  • College Diploma or University Degree
  • Minimum 3 years of relevant experience, ideally within a membership association, not-for-profit or similar member-focused environment
  • Bilingualism in English and French, both written and verbal, is mandatory
  • Strong membership, customer service and relationship-building skills
  • Demonstrated experience working with membership databases; iMIS experience is an asset
  • Strong data entry, reporting and analytical skills, with advanced Excel capabilities
  • Excellent written and verbal communication skills, including strong writing and editing abilities
  • Demonstrated ability to manage multiple priorities, work under pressure and meet deadlines
  • Strong problem-solving skills with the ability to make decisions and resolve issues independently
  • Highly organized, detail-oriented and committed to accuracy
  • Proactive, reliable and comfortable taking ownership of responsibilities with minimal supervision
  • Strong interpersonal skills and the ability to deal effectively and tactfully with a wide range of individuals
  • Ability to learn new technology and software quickly
  • Previous experience in a membership association, or experience in marketing and/or sales, is an asset
  • Proficiency with Microsoft Office, including Outlook, Word, PowerPoint and Excel
  • Ability to travel occasionally for tradeshows, conventions, conferences or other organizational events
About the Job
  • Location: Ottawa, ON
  • Work Arrangement: Hybrid - 2 days per week in office, with flexibility to work from home the remainder of the week
  • Hours: 37.5 hours per week, Monday to Friday, with flexibility within normal business hours
  • Salary: $55,000 to $65,000 annually
  • Benefits: Three weeks' vacation, RRSP program, free parking, equipment provided, and a flexible hybrid work arrangement
