The Wyant Group, supporting Audi Saskatoon, is seeking an Appointment Coordinator to assist our Service Department. You will handle inbound calls, schedule service appointments, and review service history to suggest maintenance or repairs.

This role requires strong communication, organization, and multitasking abilities in a fast-paced environment, with opportunities to grow within Wyant Group.

Qualifications

• Previous experience in automotive service environment is an asset.
• Excellent verbal communication and professional phone manner.
• Strong attention to detail and the ability to multitask in a fast-paced setting.
• Comfort with learning new systems and technology.

Responsibilities

• Receive and manage inbound service calls, answer questions and book appointments.
• Schedule service appointments with accuracy and customer focus.
• Review vehicle service history and recommend maintenance or repairs as needed.
• Coordinate with Parts Department to gather pricing estimates for recommended work.
• Make confirmation calls ahead of scheduled appointments to ensure readiness.
• Follow up after service visits to maintain high satisfaction.
• Assist Service Advisor when needed and fill in during absences.
• Assist with filing extended warranty claims once trained.
• Handle inbound calls for over-the-phone estimates.
• Assist customers with remote app setup and removal of previous owners as needed.
• Contact customers for parts-on-order appointments and provide status updates.

We are currently seeking a highly organized and customer-focused Appointment Coordinator to assist our Service Department. This role is vital in ensuring our clients receive timely, efficient, and premium service experiences from start to finish.

Schedule:

Monday- Friday, 8:00am - 5:00pm.

Key Responsibilities:

• Receive and manage inbound service phone calls, answering questions and booking appointments
• Schedule service appointments with accuracy and attention to customer needs
• Review vehicle service history and recommend maintenance or repairs as needed
• Coordinate with the Parts Department to gather pricing estimates for recommended work
• Make confirmation calls ahead of scheduled appointments to ensure readiness
• Conduct follow-up calls after service visits to maintain high satisfaction
• Support the service desk by filling in when a Service Advisor is away
• Once fully trained, assist with filing extended warranty claims
• Handle inbound calls for over-the-phone estimates
• Assist customers with remote app setup and removal of previous owners as needed
• Contact customers for parts-on-order appointments, keeping them updated on status
